The Role
Executive Support Specialists play a crucial role in providing high-level support to senior executives, ensuring the smooth operation of the office, and managing various administrative duties Ultimately, the role of the exec support is enhancing customer satisfaction and loyalty
Your responsibilities:
● Provide direct administrative support to executives, including scheduling meetings, organizing travel, and managing correspondence
● Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
● Handle confidential documents ensuring they remain secure
● Prepare agenda for meetings, take minutes, and keep notes
● Conduct research and prepare presentations or reports as assigned
● Handle office procurement and office budget management
● Manage complex office administrative work including assigning tasks to other office staff and following up on their progress
● Maintain office policies and procedures, and ensure they are implemented appropriately
● Provide customer service, answering phones, and routing calls to the appropriate party
● Assist with event planning and implementation
● Monitor office supplies inventory and place orders
● Assist in setting up and maintaining the executive’s calendar, appointments, and travel arrangements
Essential skills/knowledge/experience:
● Proven experience as an Executive Support Specialist or similar administrative role
● In-depth understanding of office management and daily operations
● Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
● Exemplary planning and time management skills
● Strong verbal and written communication skills
● Discretion with personal and confidential information
● Ability to multitask and prioritize tasks
