What's involved with this role: Role: Secretary Ref: JM BL 372583 Rate of Pay: £13.32 per hour PAYE 37 Hours per week Length of Contract: 3 months Location: Brighton, Sussex Role Summary Provide high-level secretarial and administrative support to Command Teams and Senior Managers, acting as a primary point of contact and ensuring they can make the best use of their time. Key Responsibilities Act as the main point of contact for Command Teams and Senior Managers, providing proactive support and ensuring efficient communication and workflow management. Manage and prioritise shared and individual email inboxes, including monitoring emails during periods of leave or absence. Categorise emails as Urgent, Action, or Read as appropriate. Support the wider secretarial team in operating a rota system to ensure continuous coverage for divisional email inboxes. Deliver a full range of secretarial services in line with the Service Level Agreement, including diary management, organising meetings, word processing, audio typing, drafting correspondence through corporate templates, and assisting with business documentation. Provide administrative and secretarial support for collaborative work involving Senior Managers and Command Teams. Arrange meetings, prepare and distribute relevant paperwork, agendas, and supporting documents electronically, ensuring attendees receive information in advance. Ensure Senior Managers and Command Teams are fully prepared for meetings and that all meetings run smoothly and effectively. Printed papers to be provided only for the Chair where required. Provide accurate electronic minute-taking and action recording for meetings as needed. Effectively prioritise workload in line with deadlines and operational urgency. Coordinate and maintain diaries for Command Teams and Senior Managers, including recording on-call schedules and annual leave, arranging appointments, and ensuring full briefing on upcoming commitments. Provide minute-taking support across the wider organisation when required. Assist in organising award ceremonies, staff events, and departmental away days. Maintain an efficient and consistent electronic filing system. Handle incoming telephone calls professionally, responding to queries, taking messages, and redirecting as appropriate. Arrange travel and accommodation bookings for Senior Managers and Command Teams as required. Meet and greet visitors, ensuring a high level of customer service at all times. Respond to or delegate tasks on behalf of Senior Managers and Command Teams, following up on actions where necessary. Provide secretarial assistance for planned and unplanned operational activities as required. We will also add your details to our mail out lists.
