Job Description

Job Purpose

The Radiotherapy Research team in Glasgow is seeking to appoint a talented Administrative Assistant on a part time basis. The post is responsible for the planning, coordination, liaison and administrative implementation of all related activities to ensure a high-quality research programme is delivered.

Main Duties And Responsibilities


* Provide high-level administrative support and activity to the Glasgow Radiotherapy Research team, supporting the Director, Deputy Directors and Programme Manager across all operational functions of the centre and ensuring effective administration.
* Proactive management of the diary, exercising conservable discretion and knowledge of the Glasgow Radiotherapy Research team’s priorities to ensure that internal and external appointments are well planned and time is managed effectively.
* Facilitate and coordinate a range of meetings ensuring all necessary pre-meeting arrangements are in place, (e.g. booking of appropriate rooms, preparation and distribution of agenda and associated papers, post-meeting actions, preparation of minutes, etc.) as appropriate.
* Organise travel and relevant insurances, visas, etc. liaising as necessary with travel agents, internal colleagues, and external institutions/companies. Prepare comprehensive itineraries in advance of travel.
* Active management of all correspondence (email, mail, phone calls, social media). Deal efficiently with inbox, prioritising emails and dealing independently with those that can be actioned or progressed.
* Draft reports, letters and emails as required.
* Contribute to a culture of continuous improvement by suggesting service improvements and implementing new processes to enhance the quality of the research programme.
* Engage in reasonable professional development activities as appropriate.
* Undertake other reasonable duties as required by the team.

Qualifications/Knowledge/Skills/Experience

Qualifications/Knowledge

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role. Or Scottish Credit and Qualification Framework Level 7 [Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate] or equivalent, and experience of personal development in a similar role.

A2 Excellent knowledge of Microsoft Packages including Word, Excel, PowerPoint, Outlook, and OneDrive.

Desirable:

B1 Knowledge and understanding of research programmes in the Higher Education context.

B2 Knowledge and understanding of digital communications.

Skills

Essential:

C1 Excellent communication and customer service skills, operating with diplomacy and discretion.

C2 Ability to plan, organise and prioritise effectively, respond to changes in demands and/or pressures, delivering work to standard and within deadlines.

C3 Ability to work both independently and flexibly as part of a high performing team with excellent stakeholder management skills.

Experience

Essential:

E1 Experience of applying judgement, policies, and procedures.

E2 Experience of diary management.

E3 Experience of accessing and analysing financial information.

E4 Demonstrable experience of working with a variety of internal and external stakeholders and building effective relationships within and across teams.

Desirable:

F1 Experience using University of Glasgow systems including Agresso.

F2 Experience of organising and running events such as scientific meetings and research symposia.

Terms and Conditions

Salary will be Grade 5, £26,338 - £30,805 per annum pro rata.

This post is part time (21 hours per week, Monday to Friday) and fixed term for up to 2 years. Flexibility will be required and shifts will be agreed with the successful candidate.
