The NFPA Training Administrator is responsible for providing administrative, logistical, and operational support to ensure the effective planning, coordination, and delivery of NFPA-related training activities.
The role acts as a key coordination point between trainers, participants, and internal stakeholders, supporting training schedules, participant management, documentation, and learning platforms to ensure a smooth, professional, and compliant training experience.
Working closely with the training team and management, the NFPA Training Administrator contributes to the efficient day-to-day operations of ISTC, ensuring consistency, accuracy, and high service standards across all NFPA training programmes.
Key Responsibilities
Training Logistics & Scheduling
* Coordinate and schedule NFPA training sessions in line with approved training plans
* Book and manage training venues (physical classrooms or virtual platforms).
* Coordinate catering requirements, equipment, and NFPA-specific training materials for each session.
* Ensure all logistical arrangements are in place to support the smooth delivery of NFPA training activities.
Participant Management & Customer Support
* Act as a first point of contact for NFPA training-related inquiries via phone and email.
* Manage participant registration and enrolment through the Learning Management System (LMS).
* Track attendance and maintain accurate participant and certification records.
* Prepare and distribute course confirmation letters, joining instructions, and NFPA-related communications.
Training Materials & Documentation
* Prepare, format, print, and distribute NFPA training materials and supporting resources.
* Ensure all NFPA documentation is accurate, current, and aligned with course and certification requirements.
* Maintain organised records of training materials, attendance sheets, certificates, and compliance documentation.
Administrative & Financial Support
* Organise and maintain NFPA training records, databases, and filing systems.
* Provide administrative and clerical support to the training team as required.
* Assist with financial processes related to NFPA training activities, including raising orders, processing payments, and liaising with the Accounts Department.
Evaluation, Reporting & Platform Support
* Distribute course evaluation and feedback forms to NFPA training participants.
* Collect, consolidate, and support analysis of feedback and training effectiveness data.
* Assist in the preparation of reports and summaries for management review.
* Support the setup and administration of online NFPA learning courses and e-learning platforms / LMS.
* Provide basic technical assistance to trainers and participants experiencing access or platform-related issues.

Required Qualifications & Experience
* Diploma Human Resources, Education, Business Administration, or a related field, or equivalent practical experience.
* Prior experience in an administrative, customer service, or support role, preferably within a training, technical, or compliance-driven environment.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with Learning Management Systems (LMS) and e-learning platforms is considered a strong asset.
* Exposure to technical, safety, or standards-based training (e.g. NFPA or similar frameworks) is considered an asset.
