Job Description Role Purpose : This role has the responsibility of ensuring all front and back of house areas of the Experience Centre at Grove operate smoothly, and are presented to the highest standards. This is to ensure the smooth running of event delivery and a best-in-class guest experience for Partner, public and internal events. Main Duties: Catering delivery and clear down operations – including, but not limited to, buffets, drinks receptions and formal dinners Setting-up and packing down rooms for meetings and events, ensuring this is completed to the client’s specification in a timely manner Oversight of daily building operations and use, including opening up and closing down procedures, ensuring rooms are always in a presentable state and used equipment is washed, polished and stored correctly Oversight of casual staff during meetings and events Key point of contact for event organisers and guests, welcoming them, running through function sheets, ensuring that general housekeeping orientation is given and servicing the event throughout the day Organisation of the back of house areas of the building, ensuring that they are consistently organised, clean and tidy Organisation of the bar facility to include stock taking, rotation and presentation Daily computer-based tasks, including accurately typing up menus, professionally liaising with various stakeholders and suppliers and owning consumables orders, inventory and stock lists Oversight of the laundry process – organising collections and deliveries, ensuring that all linen after events is sent for washing and clean stock is put away correctly Responsibility for the daily maintenance and usage of catering and event equipment, including notifying relevant colleagues when storage or equipment needs repair, sourcing or replacing Oversight of hire ware used for events – ensuring the correct stock has arrived, any missing items are actioned immediately, and the correct stock is sent back following events Supporting with the Williams merchandise shop sales and organisation Facilitating tours of the Williams Collection, Factory and DIL Key Accountabilities: Fulfil all organisational expectations, including but not limited to the following: Understand and work in line with Williams Values & Behaviours, encouraging others to do the same. Core Competencies: Proven experience of working in an event operations role Demonstrable knowledge of catering operations Excellent customer service and hospitality skills Strong attention to detail Competent IT user, with good working knowledge of the MS Office suite Ability to partake in ad hoc manual handling commensurate with setting up events, including being comfortable moving chairs and tables.
