Role Summary and Purpose
This role will be part of the team responsible for all-round repairs, ongoing maintenance, and general facilities queries. This will encompass all UK offices, as well as further afield, as and when required. The candidate will work to ensure that Arch sites are safe, compliant, and attractive spaces for our colleagues to work from.
Key Tasks and Responsibilities
1. Handle UK facilities requests via various channels (e.g., ServiceNow, Facilities inbox), adhering to set SLAs.
2. Maintain the team Facilities calendar.
3. Assist with project planning and coordination with key stakeholders (contractors, vendors, etc.).
4. Populate facilities systems related to all UK sites (Smartsheet, iOFFICE, HVAC system) and provide relevant management reports.
5. Coordinate with UK-wide building management and address facilities issues.
6. Assist with onsite visits across all Arch UK sites; travel may be involved.
7. Support Regional Office construction projects under the direction of the Facilities PM.
8. Manage archive records and confidential waste.
9. Vendor management: assist with vendor assessments, maintain records, and coordinate relationships; manage budgets and invoicing where applicable.
10. Assist with the overall Health and Safety program, including booking relevant training, monitoring certificates and expiry dates, arranging assessments, and closing out issues. Maintain records and ensure they are regularly updated.
11. Collaborate with other pillars within the Facilities team (Project Management, Front of House, Data & Leasing).
12. Assist with travel-related issues via the Travel inbox as needed.
Role Requirements & Skills
* Proficiency in Microsoft Office suite (Email, Excel, Word, PowerPoint).
* Intermediate spreadsheet skills, including formulas and pivot tables.
* Excellent communication skills.
* Good team player.
Qualifications
* English and Maths qualifications.
Experience
* Some experience with facilities management is required; experience with ServiceNow is advantageous.
