Conveyancing Administrator
Reports to: Conveyancing Manager
Location: Surrey Office
Salary: £25,000 - £30,000
Role Overview
The Conveyancing Administrator provides essential administrative support to the conveyancing team, ensuring the smooth and efficient progression of residential and/or commercial property transactions. This role involves managing files and documentation, liaising with clients and third parties, and ensuring compliance with all legal and regulatory requirements.
Key Responsibilities
* File Management: Open, maintain, and close conveyancing files in line with firm procedures. Ensure all files are accurate, up to date, and properly documented.
* Document Preparation: Draft, prepare, and process legal documents, contracts, and forms relating to property transactions. Assist conveyancers with documentation throughout the transaction lifecycle.
* Client Communication: Handle incoming calls and emails from clients in a professional and timely manner; provide regular updates on case progress and respond to routine queries.
* Third‑Party Liaison: Communicate with solicitors, estate agents, mortgage lenders, and local authorities, chasing outstanding documentation and information to support transaction progress.
* Compliance & Risk Management: Ensure all transactions comply with property law, anti‑money laundering regulations, and internal policies. Assist with client due diligence and compliance checks.
* Administrative & Systems Support: Accurately input and update information on the firm’s case management system; maintain electronic and paper records in line with data protection requirements.
* Financial Administration: Assist with invoicing, completion statements, and payments; support the conveyancing team with basic accounts and billing administration.
* Reporting: Prepare progress reports for conveyancers and management when required.
Skills & Qualifications
* Strong organisational and administrative skills.
* Excellent attention to detail and accuracy.
* Clear and professional communication skills, both written and verbal.
* Proficient in Microsoft Office and conveyancing case management systems.
* Good understanding of conveyancing processes and property law principles.
Essential Experience
* Previous experience in a conveyancing or legal administration role.
* Knowledge of residential and/or commercial property transactions.
