Job overview

We are seeking a Personal Assistant who has a keen eye for detail, is excellent at juggling multiple tasks and has the ability to work under pressure. The successful candidate will be responsible for providing an effective and efficient administrative support service to members of the Children and Young People Division Senior Leadership Team.


Main duties of the job

· Provide a comprehensive and confidential administration service to identified and fixed members of the divisions senior leadership team, including the coordination of diaries, arranging meetings, minute taking and preparation of meeting papers, filing, correspondence and maintenance of shared electronic records.

· Ensure competent and accurate preparation of letters, reports, documents and presentations.

· Deal with Diverse and complex issues, acting on own initiative in problem solving and crisis resolution, ensuring that problems are resolved diplomatically.

Qualifications

* • Undergraduate degree in a business-related topic or an equivalent level of experience/knowledge


Knowledge and Experience

* Knowledge of the full range of administrative and Essential A/I organizational policies and procedures acquired through training and relevant experience.
* Demonstrable experience of successfully working with Directors
* Demonstrable experience of servicing and supporting senior committees
* Demonstrable experience of successful project management


Professional / Specialist Knowledge

* Ability to organise, prioritise, and deliver work to challenging deadlines
* Strong, effective organisational skills
* Plan and organise meetings / events / conferences, including organizing speakers
* Experience of planning and managing complex and, at times, conflicting priorities

* Excellent, advanced IT skills, including a comprehensive knowledge of MS Office including Word, Excel, PowerPoint, Access and Outlook.
* Excellent keyboard skills.
* Able to concentrate with an unpredictable work pattern owing to having to deal with unforeseen events.

The Trust is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults and expects all staff and volunteers to share this commitment. As part of our safe recruitment practice pre-employment checks will be undertaken before any appointment is confirmed. As part of the selection process you may be required to undergo a Disclosure and Barring Service (DBS) check, however all cases of criminal record history are dealt with on a case by case basis.

Please note, if applicable for your role you will be required to cover the cost of your DBS certificate. This will be deducted from your salary over 3 months. You will also be required to sign up to the DBS Update Service before commencement with the Trust. The Trust will reimburse this. You will be contractually obliged to maintain your subscription.

All successful applicants will be required to complete the Trust’s induction programme. The Fundamental (Statutory and Mandatory) training will be in an e-learning format. You will be required to complete training modules online (approx. 9-14 hours depending on post) by the end of your second week with us.
