Outline of role The role is responsible for supporting transport operations to ensure vehicle availability and timely delivery in line with client and customer schedules. It involves gathering and collating data to support KPI reporting and performance analysis, with the aim of improving service and efficiency. The position also requires independently managing a range of general business administration tasks to ensure smooth day-to-day operations. Main responsibilities Coordinate and book transport to meet operational and customer requirements. Manage transport administration including POD collation, data alignment, and system updates. Support transport compliance processes including servicing schedules, driver DigiTacho and VU downloads. Process and reconcile purchase orders, sales orders, and invoices through Sage, ensuring accuracy and timely resolution of queries. Analyse transport and business data to track performance, identify opportunities for improvement, and drive cost efficiencies. Monitor and maintain records of deliveries/collections, including amendments within a 72-hour timeframe. Produce reports in line with corporate timetables, ensuring accuracy and actionable insights. Liaise with internal teams (warehousing, administration, finance) and external suppliers to support day-to-day transport needs. Develop and maintain effective working relationships with colleagues, drivers, agencies, and suppliers. Provide ad-hoc administrative support as required to ensure smooth operation of the transport department. Key skills & competencies required The role requires strong organisational skills, with the ability to prioritise workload, manage multiple tasks, and meet deadlines in line with operational and corporate timetables. A high level of attention to detail is essential to ensure data accuracy when booking transport, processing invoices, and maintaining records within Sage and internal systems. The successful candidate must demonstrate problem-solving skills and initiative, being capable of challenging inaccurate or incomplete information, resolving day-to-day transport issues, and taking corrective action where necessary. Strong analytical thinking is required, with the ability to review business and transport data, report on performance, identify trends, and highlight opportunities to improve efficiency or reduce costs. Effective collaboration and communication skills are necessary to build and maintain positive working relationships across group divisions, warehousing, finance, administration, and external suppliers. The position requires adaptability and flexibility, with a positive “can-do” attitude and the ability to work both independently and as part of a team while adjusting to changing priorities. Proficiency in systems is essential, with confidence in using in-house applications and Sage to manage transport, purchase, and sales order processes. Knowledge and experience required Proven ability to accurately maintain records and spreadsheets. Strong capability to manage multiple tasks and adapt to changing priorities throughout the day. Knowledge of transport booking systems and related processes. Basic understanding of transport legislation and compliance requirements. Reliable with a strong commitment to punctuality and time management. Experience in building and maintaining relationships with customers and suppliers. Qualifications GCSEs (or equivalent) in English and Maths.
