Job Title: Staff ID and Vetting Assistant
Join Imperial University as a Staff ID and Vetting Assistant if you have a keen eye for detail and a passion for customer service. This role supports the centralisation of the university's Right to Work (RTW) check process, ensuring compliance and consistency across the institution.
You will provide administrative support to the Staff ID & Vetting Team, helping to ensure staff have the correct RTW and Disclosure & Barring Service (DBS) checks. Your responsibilities include communicating with staff, generating links via ID check platforms, and conducting necessary checks.
Imperial hires a diverse range of staff, from researchers to catering assistants. You will contribute to a positive onboarding experience by collaborating with colleagues across various departments, including the Staff Immigration and Compliance teams, Recruitment, and Staff Hubs.
Minimum Responsibilities:
* Provide administrative support for RTW and DBS checks, ensuring accuracy and timeliness.
* Communicate effectively with staff regarding check requirements and status updates.
* Generate and send links for ID checks using designated platforms.
* Maintain confidentiality and adhere to GDPR regulations.
Minimum Qualifications and Skills:
* Proven administrative experience in HR, Compliance, or similar roles within a fast-paced environment.
* Excellent organisational and time management skills to handle high volumes of work.
* Strong written and verbal communication skills, with sensitivity and professionalism.
* Proactive, detail-oriented, and able to produce high-quality work under pressure.
* Understanding of GDPR, confidentiality, and employment compliance processes.
* Ability to work independently and escalate issues when necessary.
* Customer-focused attitude with a positive approach.
* Proficiency in Microsoft Office Suite and experience with HR systems or databases.
