Overview
To provide a comprehensive administrative function to the clinical team of Westminster CAMHS. To collate and arrange statistical and clinical data. To correspond with patients regarding clinical data and interact with and update a variety of systems and databases, answer queries over the phone, by email and written correspondence, and in person, co-ordinate meetings, take, produce and distribute minutes. To work professionally and diplomatically with colleagues, management, and staff employed by other organisations. To ensure the day to day data of the clinical team is efficiently managed, up to date and inputted into the appropriate system. To also produce reports on this information. The post holder will take responsibility for their own workload and work with minimal supervision. The collection and management of up to date leaflets and identifying new literature that is appropriate for the Service.
Main duties of the job
To be responsible for the day-to-day management of clinically relevant data for the clinical teams. This includes the implementation, development and maintenance of clinical data to ensure all requirements of the clinical data are met.
To have phone, face to face and email contact with patients to ensure all clinical data is collected, collated and inputted into the appropriate system.
To prepare small items of information/research for members of the Team and to assist in the preparation of reports/presentations as appropriate.
Develop and maintain systems to organise one’s own workload and that of the clinical team.
To deal with incoming telephone calls and incoming/outgoing correspondence as appropriate, using judgement and discretion to ensure that items needing urgent attention are identified to the most relevant member of staff available.
To produce routine correspondence as required and prioritise workload according to service needs and to manage conflicting priorities.
To be fully conversant with computer packages, promoting good presentation, including word processing and spreadsheets.
To assist the Business Manager in their duties in relation to the collation and submission of data and other reports

Education / Qualifications
Essential criteria
* GCSE or other equivalent qualification
* RSA III or NVQ III or relevant secretarial/administrative experience
Desirable criteria
* European Computer Driving Licence
Experience
Essential criteria
* Experience of dealing with members of the public both face to face and on the phone
* Experience of working with staff at a senior level
* Experience of working in health or health related environment
* Experience of analysing data
* Experience of working efficiently with multiple IT systems.

Knowledge and Skill
Essential criteria
* Fast and accurate typing
* A comprehensive working knowledge of the use of Microsoft office software –Word, Excel, PowerPoint
* Must be numerate and able to provide statistical data clearly and accurately
* Demonstrate effective organisational ability over a wide range of tasks e.g. filing, ledger management, record keeping, statistics.
* Ability to communicate effectively in English, both verbally and in writing
* Confidence to work on own initiative and to consult as needed
* Ability to work positively in a team
* An appreciation and respect for the needs of people with mental and physical health problems or disabilities
* Ability to maintain confidentiality appropriately and understand the issues involved
