Overview

We are seeking a detail-oriented and proactive Office Administrator to join our Mechanical & Electrical Family Run Business. The ideal candidate will possess strong organisational skills and a solid background in administrative tasks. This role is crucial for maintaining the smooth operation of our office, ensuring efficient communication and support for all staff members.

Hours Would be 9am to 3pm 5 days a week 5.5 hours a day with a halve hour lunch

we would also consider a shorter week of different start and finsh times

Duties

* Manage daily office operations, including scheduling appointments and coordinating Engineers
* Handle incoming phone calls with professionalism and courtesy, demonstrating excellent phone etiquette
* Maintain accurate records through data entry and clerical tasks, ensuring all information is up-to-date
* Utilise Microsoft Office Suite, spreadsheets, and other various software Packages
* Assist with financial record-keeping using XERO, including invoicing and expense tracking
* Provide administrative support to directors as needed, fostering a collaborative work environment
* Organise office supplies and equipment, ensuring everything is readily available for staff use
* Providing Customer qoutations and Invoices
* Establishing and maintaining company accreditations and compliance
* Organising Staff Training

Requirements

* Previous office experience is essential, with a strong understanding of administrative processes
* Proficient computer skills, particularly in Microsoft Office (Word, Excel, )
* Demonstrated organisational skills with the ability to manage multiple tasks efficiently
* Experience in data entry and clerical work is highly desirable
* Familiarity with Xero would be an advantage but not mandatory or experience with similar accounting packages
* Strong typing skills with attention to detail in all written communications
* Excellent interpersonal skills to foster positive relationships within the team
* Ideal applicant would have previus experience in the construction/Faciltys enviroment
