We have an exciting opportunity to join our Project Delivery team as a Purchasing & Transport Assistant. This is a part-time role and involves processing supplier purchase orders, whilst assisting the department Manager with the overseeing of goods transportation.

The Purchasing & Transport Assistant will focus on the processing of requested purchase orders, along with communicating updates and general administrative duties relating to the purchasing and transport department.

The role involves working alongside the Project Delivery department on open orders, maintaining supply trackers and sharing delivery dates.

Capabilities in effective communication, influencing, and negotiation are key to this role and will allow those supplier/working relationships to grow.

Responsibilities

* Process purchase order requests, placing orders with established suppliers where required.
* Create and maintain supplier relationships whilst being aware of the customers’ requirements/ project goals.
* Update job costings, monitoring against set budgets and reporting any discrepancies to the Line Manager.
* Update job costings and budget for each section of a milestone project.
* Attend team meetings when required, to discuss purchasing requirements, making recommendations based on knowledge and experience.
* Chase open orders, updating the Commercial and Project Delivery departments where required.
* Liaise with the Warehouse department on items required from stock for open jobs.
* Populate company ERP system (Business Central) with required information as and when necessary, i.e. delivery dates and part codes.
* Use online booking systems to facilitate transport requirements.
* General administrative duties as and when required
* Maintain commercial awareness of our key markets, supplier products, pricing and service offerings.

Known Challenges

* Developing an understanding of the company and the industry in which it operates, and the challenges that it faces from internal and external factors relating to projects.
* Fluctuating and short lead-times for purchase orders.
* Customer material requests and required ETA for orders.

Success Management

* Build and maintain effective supplier working relationships.
* Weekly/monthly reporting on purchasing data, with forecast requirements.
* Meet or exceed customer’s expectations on the delivery of orders.
* Engagement with suppliers and Warehouse team to ensure timely completion of orders and deliveries to customers.
* Maintenance of auditable documentation trails through the BC system.
* Demonstration of continuous improvement.
