The Operations Administrative Assistant role provides essential support to the Supply Chain and Product Development teams. This role is responsible for maintaining accurate product data, managing SKU creation, processing purchase orders, coordinating sample logistics, assisting with stock control, and handling various administrative duties to ensure efficient day-to-day operations.
Key Responsibilities:
SKU & Systems Management
* Create and manage new SKU setups across internal systems
* Maintain accurate SKU and product information
* Upload and update Purchase Orders (POs) in internal platforms
* Assist with bonded stock reconciliation and Goods Received Note (GRN) closure
Product & Sample Coordination
* Organize and dispatch product samples to internal and external stakeholders
* Coordinate rework and inspection of faulty product batches
* Record product specifications (e.g., dimensions, weights) for system maintenance
* Notify relevant teams when new product lines are received
Administrative & Office Support
* Perform general office administrative tasks
* Monitor and restock supplies including PPE, stationery, and other consumables
Purchase Order Management
* Cross-check PO details (e.g., CBM, packing lists) in Linnworks with current documentation
* Upload POs into the Warehouse Management System (WMS)
Shipping & Stock Coordination
* Schedule and coordinate shipping transfers and container deliveries
* Track inbound shipments and ensure accurate goods receipt documentation
* File and manage shipping documentation for record-keeping and audits
Skills & Attributes:

* Ability to multitask and work efficiently under pressure
* Comfortable collaborating across various departments
* Must be proficient in Excel
