Hours of work: Full time (Monday – Friday, 09:30 – 17:30) with occasional weekend work
Key external partners: Avex Classics International’s head office in Tokyo (ACI Tokyo), freelance producers, promoters, agents and freelance artists and technicians

Established in 1988, the Avex Group is Japan’s leading entertainment company. Avex Classics International (ACI) was formed in 2003 and in 2014, ACI opened a London office tasked with establishing the company worldwide.
ACI London is comprised of a lean team of dynamic individuals passionate about music, the arts and immersive entertainment. Our small team (currently 6 members) operates globally, collaborating with promoters, artists and businesses from diverse cultures. We enjoy the challenges and opportunities this diversity brings.
Our current roster includes Film with Live Music productions such as Avatar Live in Concert, Amadeus LIVE, Titanic LIVE, RRR LIVE, The Terminator LIVE, and Blade Runner LIVE. We manage a small, selective roster of artists internationally or in specific territories. We are also developing new production formats to launch soon.
PURPOSE OF ROLE
The Assistant Operations Manager (AOM) supports the HoIO, DHoIO, and the existing Operations team in coordinating and administrating ACI’s international productions and artist performances to the highest standards, aligned with the company’s goals.
KEY RESPONSIBILITIES
Responsibilities include (but are not limited to):
* Managing administration of artist and promoter contracts in liaison with the OM and legal department in Tokyo.
* Coordinating marketing materials, analyzing weekly ticket reports, approving concert programs, and providing promotional support.
* Updating production riders with technical partners and collaborating with the OM.
* Booking and contracting artists and production staff.
* Assisting with project budgets.
* Ensuring technical and production elements are agreed upon with external partners.
* Arranging travel logistics including flights, hotels, visas, work permits, and tax forms.
* Creating and distributing tour itineraries.
* Managing production parts delivery and technical rehearsals.
* Overseeing performances, artist welfare, and logistics.
Additional duties include supporting accounts, updating records and social media, maintaining the website, and assisting with marketing and research.
The role requires undertaking any other duties as assigned by line managers or ACI Tokyo.
Skills
* Degree or equivalent qualification
* At least three years’ experience in concert, artist, event, or production management
* Organized, efficient, and detail-oriented
* Excellent communication skills
* Problem-solving and adaptability
* Fluent in Microsoft Excel and Word
* Experience in a fast-paced multinational environment preferable
* Languages, marketing, and PR skills beneficial
* Experience with Overture booking software and within concert promotion preferred
