Job overview

We are recruiting 2 part time Clerical Officers to work nights in Aintree A&E department.

Provide a thorough reception and administration service ensuring patients are admitted to the ED efficiently and accurately providing an exceptionally high standard of customer care.

Work closely with other members of the ED teams; this is varied role working within a busy and challenging environment. Demonstrating excellent interpersonal skills, pleasant and caring personality, ability to remain calm whilst working under pressure. Capable to work on your own initiative and flexible with working hours which follow a 24 hr rota. Motivation, eye for detail, communication as a team player are all key factors in this varied role.

Previous experience in a similar role is desirable as is a good knowledge of IT and systems, administrative processes and customer care. Working within the ED the post holder will be expected to work weekends and Bank Holidays including Christmas and New Year.

Main duties of the job

The successful candidate will be part of a busy Emergency Department. The role is varied and will include;

Dealing in the first instance, with all aspects of clerical & reception duties including telephone enquiries, paging clinical staff, taking / relaying messages

Effectively deal with all enquiries, via the phone and face-to-face with regard to patients, staff, internal and external agencies, with the absolute exception of medical advice

Accurately admit, discharge and transfer patients via appropriate manual or electronic methods available

To input into the departmental computer / information system appropriate patient data. Complete diagnostic coding and tracking of A&E documentation

Liaise with all departments on all issues of a clerical nature

Detailed job description and main responsibilities

PROFESSIONAL

Act at all times so as to provide and maintain public and staff confidence in the service provided

To work effectively as part of the multi-disciplinary Emergency Floor team

Collaborate in such a manner as to provide a courteous and efficient service and maintaining effective harmonious team dynamics and structure at all times

To deal tactfully and sensitively with patients & relatives / accompanying others

Promote an open and participative culture within the Department

Maintain the furtherment of own professional development in accordance with the requirements of the needs of the Emergency Floor

Work within a department that promotes and maintains a culture of patient & staff incident reporting in accordance with trust guidelines

To adhere to the trust requirements regarding the reporting, management and investigation of complaints and other quality issuesEnsure that all Royal Liverpool & Broadgreen University Hospital NHS Trust policies are maintained at all times

Demonstrate the ability to act as an effective agent of change within the clinical area as appropriate

Ensure that resources are appropriately are utilised to maximum effectiveness against workload and activity of the Emergency Floor

Work within and provide an effective flow of communication within the Emergency Floor Reception and clinical areas

Participate in appropriate managerial duties as delegated by the

Emergency Services Administration Manager, Directorate Manager or appointed deputy

Liaise with / summon nursing staff where concern exists over the condition of a patient

Deal in the first instance, with all aspects of clerical & reception duties including telephone enquiries, paging clinical staff, taking / relaying messages

Collate appropriate documentation for patients attending the Emergency Floor

Collate appropriate information with regard to patient attendance: APT, file and scan / retrieve documentation (A&E only) using Document Image

Processing software for patients within the Emergency Floor

To input into the departmental computer / information system appropriate patient data. Complete diagnostic coding and tracking of A&E documentation

Ensure that the appropriate case notes and X-rays are available and complete with the necessary documentation. To ensure also that A&E records are correctly filed in a neat and orderly manner

Ensure that all relevant correspondence to GP practices is sent out according to set procedures

Liaise with all departments on all issues of a clerical nature

Provide appropriate documentation for each follow-up clinic as required e.g: Redressing / review Clinic

Fracture Clinic

Physiotherapy clinic

ENT clinic

Participate in departmental, trust wide and national audits as appropriate, ensuring that documentation is collected accurately, retrieved, stored and presented appropriately

Ensure coverage of Patient Enquiries for the Royal Liverpool University Hospital between the hours of 2000hrs – 0830hrs

Provide reception coverage of St Pauls Primary Care Unit between the hours of 1800hrs – 0800hrs

Actively contribute to the attainment of national targets in relation to emergency care

Assist in the input and correction of data relevant to the Emergency Access Targets

Qualifications

* GCSE/equivalent

Experience

* Must be able to demonstrate experience of working in the public sector


Knowledge

* Knowledge of patient administrative system (computerised); knowledge of hospital departments & clerical procedures.

* Familiar with Caldicott guidelines
