We're here to help! Main Duties & Responsibilities: The Administrator role, as defined in the job description, provides essential support to the Management Team and the wider operation. Key responsibilities include: Onboarding new starters, including verifying documents, completing onboarding paperwork, processing Right to Work checks, and arranging uniforms/PPE. Responsible for processing internal and external applications through the I.D. process. Proactively communicating with internal and external applicants to ensure their references are completed with the SLA schedule (within 8 weeks of submission). Collating a full 5-year credible history check (may include, liaising with applicants to seek further details from the home office or government authorities). Managing ID Pass renewals, GSAT/DBS checks, and security training requirements. Support with on-going pass process such as change of details and unparking when needed. Manage car park applications for applicants. Be responsible for CTC applications and support applicants when required. Maintained high levels of data accuracy for smooth business operations by conducting regular database audits. Adhere to Data Protection Act 1998, by managing the administration of documents. Ensuring a commitment to data accuracy and legal compliance in line with GDPR. Have a full understanding of UK eligibility checks inclusive of visa knowledge. Ensure timely submission of weekly reports related to I.D. passes that have entered, are in, and are exiting out process. Build effective relationship with the IDC and internal bodies Manage and support interviews and recruitment processes, ensuring candidates meet operational and regulatory requirements. Carry out and maintain accurate records of Right to Work checks, ensuring compliance with UK employment law. Coordinate the ordering and distribution of uniforms and PPE, ensuring all staff are equipped to work safely. To be conscious of the departmental budget for staffing, provision of services such as GSAT’s, CRC’s, CTC’s, Car Parking, stationery, postage, ID issue and return costs. Process orders and raise PO’s as required. Interrogate monthly invoices and act accordingly. Participate in projects and working groups parties & carry out any other duties outside the standard remit when required, managing ongoing and/or new projects whilst ensuring delivery in the best possible way. These tasks are critical to ensuring operational continuity, compliance with GDPR, and adherence to client SLA expectations.
