Candour Talent are recruiting an Administrator for their client based in Caerphilly.
* Employment Type: Permanent/Full Time
* Working Hours: Monday to Friday – 35hrs
* Salary: £25k
Our client is looking for a reliable and organised Administrator to join their team.
This successful candidate will ensure the smooth running of the Business Centres, office suites and meeting spaces on a day-to-day basis for all properties in the client’s portfolio.
The Role:
* Greeting clients and visitors
* Taking phone calls and passing on clear messages
* Dealing with distribution of daily post
* Liaising with our cleaning companies and assisting internal cleaners with rotas and stock management
* Check all kitchen areas are tidy and presentable ready for tenants each morning
* Assessing stock requirements, ordering refreshments and office supplies where necessary
* Liaising with tenants and escalating issues to the Senior Management team
* Dealing with booking requests for meeting rooms
* Programming and allocation of electronic access fobs and key card for the various properties
* Organising cutting of keys and managing keys issued to tenants and contractors
* Weekly checks of the building to identify and report any maintenance and cleaning issues
* Ensuring all basic maintenance tasks are attended to when required
* Collate monthly gas and electricity meeting readings
* Monitoring and updating property listings on broker and agent websites
* Preparing offices ready for tenant occupation including organising cleaning, keys and access fobs, intercom and door signs, car parking and Welcome Packs
* Update various internal records
* Assisting with queries with councils on rates and ensuring all bills are correct
* Ad-hoc administrative tasks as and when required.
The Ideal Candidate:
* Strong administration skills
* Works proactively in a highly organised manner, with the ability to manage time, prioritise a heavy workload and remain calm under pressure.
* Good decision-making and problem-solving skills and be capable of applying own judgement to challenging situations
* Ability to deal with difficult people and/or situations
* Personable and approachable with a positive nature
* Flexible, focused, sensible, professional, and self-motivated
* Numerate and literate with excellent communication skills at all levels.
* Self-motivated and the ability to carry out responsibilities with minimal supervision
