Overview

Are you interested in IT systems and how they work? Are you a data whizz that enjoys reports and extracting information?

The Royal Wolverhampton NHS Trust has exciting opportunities within our friendly rostering team. E Rostering Team are responsible for supporting the ongoing education and development of our electronic rostering system, HealthRoster/Optima for nursing, allied health professionals and medical staff groups. This includes system configuration, testing, delivery of training sessions, development of guidance documentation, reporting and active promotion of the system.

The post holder must possess excellent communication and organisational skills, including the ability to work independently and collaboratively. Proficiency in Microsoft Office, especially Excel, is required. A working knowledge of HealthRoster/RLDatix Optima is expected, and an Allocate Certificate Professional (ACP) certification is desirable.

This position is offered as a band 4 role, with Annex 21 training and development options for applicants who do not yet meet the full criteria. The post holder will assist in the implementation, development and maintenance of the Trust’s electronic rostering system.


Main Duties & Responsibilities

* Assist in the implementation, development and maintenance of the Trust’s electronic rostering system.
* Provide technical expertise to stakeholders and resolve queries in a timely manner to support effective use of the system.
* Deliver specialist training and support the delivery of an efficient electronic rostering support and data quality function.
* Assist with monthly preparation and submission of time and attendance and absence information.
* Maintain a high level of competence on the Trust’s rostering products and undertake supplier training when available.
* Assist with rollout of new rostering-related products and educate staff on their use.
* Use the rostering products to provide information and reports to increase productivity and ensure compliance and good rostering practice.
* Assist with system data entry (new units, new starters, contract variations, leavers) and perform configuration tasks (unit/grade mappings, suspect records, assignment issues).
* Build and develop hierarchical structures within the e-rostering system and add new staff using ESR data, ensuring data accuracy.
* Analyse, investigate and interpret complex information or issues; feed progress to the E-Rostering Manager.
* Support rollout of future modules and provide timely technical issue resolution.
* Resolve technical and process/management queries regarding HealthRoster and associated modules; escalate complex issues when needed.
* Review roster templates to align with budgets, safety and KPIs; recommend improvements for efficiency, cost savings and safety.
* Perform routine checks for non-compliance and take corrective actions; run reports and distribute as required.
* Deliver specialist training and assess IT literacy and training needs to tailor sessions for groups or individuals.
* Analyse and resolve problems including system issues, access problems and data errors; communicate clearly with stakeholders.
* Enter and maintain e-rostering training records; provide ongoing support as the primary contact for advice and guidance on all aspects of e-rostering.
* Handle telephone, email and written communications; process data of a sensitive nature in line with policies and legislation.
* Act as first point of escalation for technical queries and system configuration from the E-Rostering Administrator; maintain accurate records and regular stakeholder communication.
* Coordinate with the electronic rostering supplier to raise service requests and resolve performance issues and queries; contribute to the development of the e-rostering homepage.
* Assist with responding to Freedom of Information Act requests for information; collate, run, manipulate and distribute reports from the e-rostering system and other data sources.
* Highlight data quality and compliance issues and escalate as necessary; assist monthly preparation and submission of time, attendance and absence information; support payroll data transfer and interface with ESR.
* Ensure payroll deadlines are met and that adjustments are made where payroll errors have occurred; monitor inter-dependence with ESR and escalate as needed.
* Address non-payments or late payments due to data issues and work with managers to resolve satisfactorily.
* Participate in ad hoc duties, service development, and steering groups; attend in-person and virtual events; flexibility to work extended hours, including evenings, weekends and bank holidays.


Qualifications & Requirements

* Excellent communication and organisational skills; ability to work independently and collaboratively.
* Proficiency in Microsoft Office (especially Excel).
* Working knowledge of HealthRoster/RLDatix Optima.
* ACP certification is desirable.
* Willingness to undertake training and development as required.
