Job Profile Job Title: Fleet and Post Administrator Location: Bolton Depot Business Unit: Fleet Management Reports to (Job Title): Fleet Contracts Manager Date Created: September 2025 Scope of Responsibility The Fleet and Post Administrator will manage the notice of intended prosecution’s and fines on behalf our customer. The role will also provide support to the admin team, providing excellent customer service and managing our 3rd party suppliers. Working within the customer and supplier SLA guidelines, this role is part of the Fleet Management Team and reports to directly the Contract Manager. Purpose of the Position To ensure that all documentation is processed in a timely manner, allowing the customer to query within the allotted time frame. To support all administration requirements within the Fleet Management Division. Liaising / working alongside Suppliers within the Invoicing process. Validation of Pro Formas and issuing Purchase Order numbers keeping within the company’s Service Level Agreement. Responsibilities: Processing / Validation of Invoices to a high level of accuracy. Ensure that all queries and tasks are dealt with efficiently and with professionalism. Support colleagues on a daily basis at a highly professional level. Assist customers on a daily basis with queries providing excellent customer service Ensure that PO’s are sent in a timely manner as set out in FMD SLA’s. Maintain all in-house excel spread sheets Dealing with Warranty queries Meeting KPI’s Capability Education: Functional skills Math’s and English Educated to GCSE or equivalent (Grade C or above) Experience: Previous experience Processing Invoices Mechanical background – desirable Administrative Experience – essential Knowledge and Skills: Knowledge of the transport/automotive/refrigeration Industry – desirable but not essential as training will be provided. Database management Knowledge of R2C – desirable IT literate (Microsoft Office/Excel) Strong written & verbal communication skills to provide a professional approach to both external & internal contacts.
