Job Purpose
The Project Coordinator will work alongside an established team of Project Managers, supporting the entire lifecycle of client facing projects. The role will involve coordination across technical teams, third-party suppliers, and customer stakeholders. The Project Co-ordinator will liaise between departments, track project progress, manage documentation, and help resolve issues as they arise, ensuring that all projects are delivered on time, within scope, and within budget.
Key Tasks and Responsibilities
* General responsibilities:
o Act as an ambassador for the company at all times
o Project Scheduling and Tracking
o Monitor project timelines, updating trackers and reporting on progress against key deliverables
* Communication and Coordination
o Act as a central point of contact for project stakeholders—internal teams, vendors, and clients
o Arrange, attend, and document project meetings, ensuring actions and decisions are clearly communicated and followed up
o Prepare and distribute project status reports, highlighting risks, issues, and achievements
* Documentation and Administration
o Maintain accurate project records, including scope documents, contracts, change requests, and meeting minutes
o Support the onboarding and offboarding of resources for projects, managing access and provisioning as required
o Ensure all documentation meets company standards and is stored securely in appropriate systems
* Risk and Issue Management
o Track, escalate, and help resolve project risks and issues promptly, keeping stakeholders informed
o Assist with the identification of potential roadblocks and contribute to mitigation strategies
* Resource Coordination
o Work with technical and delivery teams to ensure appropriate resource allocation to projects
o Update resource management tools, forecasting needs, and tracking utilisation
Experience
* At least 1-2 years’ experience in a similar role, ideally within an MSP, IT services, or technology company
* Previous Project Co-Ordination experience essential
* Understanding of IT infrastructure (servers, networks, cloud services) and project management tools
* High level of administration experience
* A proven experience of providing excellent customer service
* Strong communication skills with the ability to address issues in a professional way to bring about a resolution
* Preferred experience within a buying and stock management environment

* Project Management certification e.g. PRINCE2 desired
* Strong background in customer service required
