We are currently recruiting for a Facilities Assistant to join us on a Permanent Full Time contract.
This is a crucial, proactive support role within the Facilities Department, focused on delivering high quality, responsive facilities support services to staff while ensuring the building is maintained to the highest standards of safety and efficiency.
Key Tasks and Responsibilities
* To manage the incoming post and parcels, distributing as necessary.
* Monitor levels of tea, coffee and milk and replenish as required.
* Manage company stationery stocks and replenish as required. Liaise with Comms team and printers when ordering branded stationery.
* Responsible for ensuring office service centres are fully stocked and equipment is serviceable in conjunction with the I.T. Department.
* Manage meeting room bookings using google calendar. Setting up / reinstating of meeting rooms as required, ensuring adequate supplies are available, equipment is serviceable and the rooms are kept clean and tidy.
* Manage and maintain key register, responsible for ordering new keys and locks as required.
* Portering duties as required, such as assisting with moving furniture.
* To work closely with our waste management contractor, ensuring waste is removed from site in accordance to the schedule and the external waste areas remain clean and tidy.
* Responsible for setting up the Front of House areas such as Marquees and Stretch tents as per our performance schedule - Summer Festival, Autumn Season, Christmas
* Assist facilities team with compliance PPMs and record keeping, such as weekly Fire Alarm testing.
* To be aware of day to day Health and Safety requirements, ensuring that the site work areas are kept clean and tidy and are H&S compliant.
* Assist with planning and carrying out internal office moves as required.
* Assist the Head of Facilities with administrative tasks as directed. Tasks such as placing consumables orders, cleaning audits and liaising with contractors.
* Assist with the supervision of contractors and associated on site works on a day to day basis.
* Report all maintenance issues arising to the Building Services Team using our CAFM system
* To provide a first class responsive service; ensuring always to be courteous and attentive, with a particular focus on customer service.
* Always follow company Health and Safety procedures as directed.
Knowledge Skills and Experience
ESSENTIAL
* Positive service-oriented "can do" attitude
* Able to work individually and as part of a team
* Adaptable with a proactive approach to troubleshooting and problem solving
* Ability to work on own initiative, and to prioritise workload to ensure key daily tasks are completed.
* Flexible, enthusiastic and hard-working
* Must be computer literate
* Must have a good command of both written and spoken English
* Capacity to perform physically demanding tasks required for setting up front-of-house areas, office moves and building services requirements
DESIRABLE
* Previous experience in a facilities role
* Knowledge of Health, Safety and compliance
* Experience using computer-aided facilities management systems
Salary, Hours and Benefits
We can offer a salary of £27,000 per annum. Salaries are reviewed annually on 1st January.
The hours of work are 35 per week Monday - Friday with an hour for lunch. However you may be required to work additional hours to meet the demands of the role. This is an in-person position, onsite at Glyndebourne.
