Sales and Events Assistant – Part Time

We are currently seeking a versatile Sales and Events Assistant to play a pivotal role in promoting, organising, and coordinating our diverse range of events and weddings. Reporting to the Events & Operations Manager, you will collaborate closely with both the sales and events teams to ensure seamless operations and exceptional customer experiences. Candidates should possess a minimum of 12 months of experience in sales, events, weddings, and hospitality.
Key Responsibilities Include:
General:
• Manage confirmed bookings via phone and email, ensuring comprehensive customer files are accessible to the sales team.
• Demonstrate strong multitasking abilities, efficiently managing multiple clients and events concurrently.
• Oversee events and weddings on the day-of, addressing challenges, welcoming guests, directing event setup, communicating with staff, and coordinating suppliers.
• Anticipate and plan for various scenarios, maintaining top-tier customer service levels.
• Collaborate effectively with partners and suppliers throughout event planning processes.
Sales:
• Implement internal processes to book and record viewings with accurate client information.
• Conduct consistent venue tours, showcasing key features and aligning with client needs.
• Collaborate with the Sales Team to drive sales and convert inquiries into confirmed bookings.
• Deliver a high-end level of customer service, adhering to sales processes diligently.
• Identify and capitalise on sales opportunities during client interactions and events.
• Develop a strong working knowledge of the company to identify and pursue new business opportunities.
• Craft event proposals tailored to client needs, ensuring timely delivery.
Customer:
• Serve as the primary point of contact for customers from initial inquiry through to event execution.
• Coordinate customers, guests, suppliers, and team members throughout events and weddings.
• Support clients in planning event aspects, including venue layouts, seating plans, and F&B requirements.
• Liaise with the Events & Operations Manager regarding event payments and invoicing.
Team:
• Contribute as a team player across all event areas, supporting the sales and events teams with setup and breakdown duties as needed.
