Salary:Pay £12.50 - £13.50 per hour (depending on experience)
Monthly equivalent £1354-£1462 (based on 25 hours /week)
About Castleton Mill:
Castleton Mill is a vibrant workspace in a beautifully restored Grade II listed former textile mill situated alongside the Leeds and Liverpool canal. Home to a diverse community of independent businesses, Castleton Mill offers stunning studio spaces for teams of 2-40 in addition to flexible co-working spaces, just a 15 minute walk from Leeds train station.
We are seeking a friendly, reliable and experienced receptionist to be the welcoming face of Castleton Mill, ensuring things running smoothly every day.
Role Overview:
You will be the first point of contact for studio holders, freelancers, visitors, deliveries and contractors each day, providing a professional, consistent front-of-house experience for everyone. In addition to this, you will support the daily building operations liaising with the Facilities Manager on all maintenance and tenant services.
Key Responsibilities
Reception Duties:
- Greet and assist all studio holders, their teams and visitors
- Respond to all enquiries promptly and professionally - face to face, telephone and via email
- Manage all deliveries, collections and post
- Maintain visitor sign-in logs and access
- Support the letting process providing tours of the building for potential new studio holders and co-workers
- Manage virtual office facility
Tenant Support:
- Provide a friendly and accessible service for day to day tenant queries
- Co-ordinate meeting room bookings and use of the communal areas
- Communicate important information to studio holders
- Update tenant signage and post box allocation
- Facilitate all end of tenancy inspections, assessing any repairs, handover of keys and timely move outs
- Supporting the move-in of new tenants, including entry and security procedures, on-boarding to the internet and WIFI facilities and other services
Maintain Building Facilities:
- Carry out morning walk-around ensuring both the building and grounds are in excellent condition reporting any maintenance or cleaning issues
- Monitoring of co-working studio, flexible work area and call booths to ensure they are well-maintained
- Report any health and safety matters immediately to the Facilities Manager
- Ensure shared kitchen and bathroom facilities are fully stocked and in excellent condition throughout the day
- Monitor waste and recycling, carrying out litter picks as requires
- Monitor essential supplies and make orders as required (kitchen supplies, toilet paper etc)
- Stock control and orders for the in-house ‘tuck shop’ facility
- Administer a shared log of all maintenance matters prioritising tasks appropriately
- Managing cleaning, couriers and contractors when on site, minimising disruption to the tenants
- Admin updates to the Property Management System
What We’re Looking For:
- Excellent customer service skills with a friendly, can-do attitude
- A confident individual with a professional manner
- Previous experience in a customer facing role eg: reception, hospitality, retail environments
- Excellent communication and organisational skills
- Admin skills including Microsoft excel, email, calendars, Google workspace
- Ability to work independently, delivering a consistent, reliable service
- Pride in maintaining a high quality, welcoming space with an eye for detail
- Availability to work on-site Mon-Fri
