Salary: £27,000 - £30,000 - Salary is dependent on experience and will be assessed in line with the candidate’s skills, knowledge, and relevant expertise. The Role… Whilst acting as the Receptionist, you will report to the Front of House Supervisor. You will work closely with Building Management and Office Services, managing time-sensitive tasks to agreed deadlines. You will be responsible for delivering a 5-star experience for all visitors and clients, as well as supporting Hearst colleagues and internal stakeholders. Whilst acting as the Library Assistant, you will report to the Syndication and Archive Manager. You will support the organisation, care, and accessibility of Hearst’s archive collections, alongside carrying out library administrative tasks, including the physical restocking of magazines. Please note, this role will involve occasional lifting of items up to 10kg. Main Duties… Reception Manage the front-of-house experience, operating the switchboard and ensuring all calls are handled in a friendly, professional and timely manner, accurately redirecting enquiries as required. Deliver a welcoming and well-run reception service, greeting visitors, managing check-ins via Touchpoint, offering refreshments and ensuring guests are informed, comfortable and well supported at all times. Coordinate meeting room bookings end-to-end, including accepting/declining requests, avoiding diary conflicts, and logging all setup/reset requirements within Facilities calendars and e-logbooks. Maintain high standards across reception and meeting spaces, ensuring desks, rooms and shared areas are consistently clean, organised and presentation-ready, supported by regular floor walks. Oversee access and security processes, including issuing daily, weekly and permanent passes, maintaining accurate databases and reports, managing replacements, and processing leavers (including deactivation and record-keeping). Support the smooth running of Front of House operations through proactive inbox management, maintaining stock levels (magazines, refreshments and sundries), managing locker allocation and queries, and working closely with Facilities, contractors and colleagues. Library Support day-to-day syndication and archive operations, responding to internal and external queries and facilitating timely and accurate access to materials. Monitor and manage the Archive inbox, handling requests within remit and escalating more complex queries to the Syndication & Archive Manager. Use and develop knowledge of specialist systems and tools to support syndication activity and digital archive processes. Maintain library spaces and collections, including restocking magazines, organising shelves and ensuring surrounding areas are tidy, accessible and well presented. Provide administrative support across library operations, including updating monthly bulk order documents and supporting general tracking and documentation processes. Assist with the organisation, maintenance and accessibility of physical and digital archival materials, while promoting awareness, correct usage and best practice across the business. Undertake any other ad hoc duties or project work, as reasonably requested.
