Introduction
We're looking for a Contracts Administrator to join our Business Office team for an X month maternity cover contract.
In this role, you will play an important part in supporting the company's commercial activities by assisting with the administration and review of proposals, contracts and incoming orders, ensuring they align with company policies and procedures. You will also help maintain and manage records relating to the company's Intellectual Property portfolio, working closely with colleagues across the business.
You do not need any previous legal or contracts experience and this could be a great opportunity for you if you're looking to expand your administrative and customer service experience into a new area.
The team and role
As a Contracts Administrator, you'll join our Business Office team of 4.
The Business Office plays a critical role in supporting the company's commercial and strategic activities. It is responsible for overseeing the legal and contractual content of all proposals, tenders and commercial offers issued by the organisation, ensuring they are accurate, compliant and aligned with company policies and risk standards.
Working closely with sales, project management and legal stakeholders, the Business Office reviews incoming orders to confirm contractual, regulatory and policy compliance before acceptance. This function helps safeguard the company's interests whilst enabling efficient and confident decision-making.
In addition, the Business Office has responsibility for managing and protecting the company's Intellectual Property portfolio. This includes coordinating the identification, registration, maintenance and appropriate use of intellectual property assets, as well as supporting internal teams on IP-related matters.
We are looking for a proactive and detail-driven Contracts Administrator to support the effective management of contracts and commercial processes across the business. This is a key role working closely with project teams, finance and senior stakeholders to ensure all new work is correctly contracted, accurately recorded and fully compliant with internal procedures.
You will take ownership of the day-to-day administration of new business, reviewing contractual documentation, supporting cost control activities and producing management reports that inform decision-making at all levels. You'll also receive excellent exposure across the organisation and the opportunity to contribute directly to the successful and profitable delivery of projects.
Responsibilities
Your responsibilities will be varied so we've listed below a snapshot of the types of things you can expect to be involved in during your contract:
Take responsibility for the day-to-day process of booking new work into the company's processes, using the "Business Office Forms" system
Review and negotiate Non-Disclosure Agreement's with clients and suppliers
Verify all new business has a valid contract before authorising commencement
Daily communication with the Accounts department to ensure data is correctly entered into the company's Management Information System (MIS) to sync with accounts system (Deltek).
Provide advice to project teams on the BO Forms and Management Information System (MIS)
Ensure the contract review process is completed
Manage the process of the QCR's (Quarterly Cost Reviews) working with the BU (Business Unit) operations, COSO (Chief Operations and Sustainability Officer) and CFO (Chief Financial Officer)
Attend and contribute to weekly Overspend meetings
Make sure that projects are recorded as complete on the company systems when they are finished
Prepare management sales reports on a weekly/monthly/yearly basis
Provide ad-hoc support to IP Manager
About You
To be successful in this role, you will require to hold the following skills or experience:
Administration experience within a corporate environment, including a sound understanding of MS Office
Experience of working in a customer-focussed, fast-paced environment
