Role overview The Personal Assistant will provide high-quality administrative and operational support to the CEO and, when required, the wider executive team. This role is focused on diary coordination, travel logistics, meetings, and team events, enabling our leaders to concentrate on strategic priorities. You’ll work in a fast-paced, supportive environment—ensuring seamless scheduling, efficient planning, and proactive organisation. Key Responsibilities Diary & Meeting Coordination Manage the CEO’s diary, coordinating internal and external meetings, prioritising calendar commitments and resolving scheduling conflicts. Coordinate meeting logistics: room bookings, attendee communications, agendas, and briefing notes. Travel & Event Planning Organise travel arrangements, including flights, accommodation, local transport, and visas, balancing efficiency and cost. Plan and coordinate ad-hoc team events or gatherings in partnership with internal stakeholders. Arrange internal events such as Christmas and summer parties, team off-sites, lunches, and social activities, ensuring smooth delivery and strong engagement. Communication & First Contact Act as first point of contact, filtering and directing calls, correspondence and meeting requests to the CEO and exec team as required. Manage basic email handling and follow-up actions to ensure timely responses and clarity. Administrative Support Prepare documents, presentations, expense claims, and itineraries using PowerPoint and Excel as needed. Maintain office systems: filing, records, contact lists and task trackers. Assist with preparation for key meetings, including board or investor sessions. Office Management Manage day-to-day office operations, ensuring a professional, well-maintained, and welcoming environment. Liaise with serviced office providers on all operational matters, including lease agreements, facilities maintenance, and services. Oversee office access systems, including security passes, visitor management, and ensuring compliance with safety protocols. Coordinate office moves, renovations, or space expansions—working with suppliers, contractors, and internal teams to minimise disruption. Manage office supplies, equipment, and vendor relationships to ensure cost-effective procurement and smooth operations. Act as the central point for any office-related queries, resolving issues promptly and effectively. Key Skills & Qualifications: Essential Proven PA or administrative experience—ideally within a similar commercial setting supporting senior leadership. Excellent organisational skills with a proactive approach to managing the CEO’s time and priorities. Strong competency in Microsoft Office: Outlook, Word, Excel and PowerPoint. Outstanding communication and interpersonal abilities; professional and discreet in handling confidential matters. Ability to work independently, multitask effectively, and maintain calm under pressure. Desirable Exposure to start-up, sustainability or infrastructure environment.
