Job Overview

You will be at the heart of a busy, specialist service that protects patients, staff and visitors every day. In this role you will provide administrative and data support to a multidisciplinary clinical team, driving IPC priorities across the Trust through coordinating meetings, managing data and reports, supporting audits, and maintaining information platforms.


Key Responsibilities

* Provide high‑quality, confidential administrative support to the IPC team.
* Coordinate committees and meetings – agenda preparation, minute‑taking and circulation of papers.
* Support audits, point prevalence studies, IPC awareness activities and other projects.
* Draft, format and manage reports, policies, leaflets and other internal and external documents.
* Manage departmental systems including SharePoint sites, document control, training records and governance platforms.
* Coordinate events such as the annual IPC link practitioner conference.
* Act as a point of contact for enquiries from staff, patients and external organisations.
* Support procurement, stock control, rostering and general office management functions.
* Assist with recruitment and induction processes and contribute to service improvement initiatives.


Essential Criteria

* Strong administrative experience with meeting coordination and minute‑taking.
* Confidence working with data, figures and reports.
* Proven ability to work independently, prioritise effectively and meet deadlines under pressure.
* Excellent written and verbal communication skills.
* High standards of organisation, accuracy and attention to detail.
* Proficiency in Microsoft Office applications (Word, Excel, Teams).
* Adherence to data protection, confidentiality and information governance rules.
* RSA III or equivalent experience.
* GCSE or equivalent in Maths and English.
* ECDL or equivalent qualification in IT literacy.
* Clear discharge review required: the role is subject to the Rehabilitation of Offenders Act 1974 and a Disclosure and Barring Service check will be required.


Desirable Criteria

* Diploma in Business and Administration (Level 2) or equivalent experience.
* NVQ Level 4 or equivalent experience.
* Previous secretarial or administrative experience in a healthcare setting.
* Evidence of working with figures and data.
* Experience of taking and transcribing formal minutes.
* Experience of planning and organising a broad range of complex activities.
* Ability to work on own initiative and in a team.
