Job Overview
This post is a fixed-term secondment for 12 months to meet the needs of the Women’s Directorate in Glan Clwyd Hospital. The Site Secretary will provide secretarial support to the General Manager, Matrons, Ward Managers, Lead Manager and Senior Midwives. Responsibilities include coordinating corporate and central meetings, room bookings, agenda preparation and minute taking, as well as delivering a high-quality secretarial service to senior managers in the Women’s Directorate.
Main Duties
* Fully coordinate Directorate and North Wales meetings, including room bookings, agenda compilation and transcription of formal minutes.
* Provide an effective secretarial service and support to all senior managers within the Central area of the Women’s Directorate, including the Clinical Director, Consultant Midwife, Lead Manager, Inpatient Manager and the General Manager.
* Speak Welsh is desirable; Welsh and/or English speakers are equally welcome to apply.

Detailed Job Description And Main Responsibilities
* Have up-to-date knowledge of the issues and responsibilities associated with senior managers.
* Schedule and arrange meetings, invite attendees and arrange suitable meeting venues and refreshments if necessary.
* Manage the electronic diary of the Lead Manager and Matron, including making appointments, booking meetings, sending apologies and revisions as per prioritisation.
* Ensure the Lead Manager and Matrons are fully prepared with required documentation prior to meetings.

Qualifications And Knowledge
Essential criteria
* Typewriting/Word Processing qualification – RSA III or equivalent.
* GCSE A-C English & Maths or equivalent experience.
Desirable criteria
* NVQ Business Administration Level 2 or equivalent.
* Knowledge of Microsoft packages – Word, Excel, Outlook.
Experience
Essential criteria
* Comprehensive clerical/secretarial experience.
* Experience coordinating administration activities.
Desirable criteria
* Previous NHS experience.
* Experience of setting up and using filing/IT systems.
* Ability to deal with a high level of communication and interaction with other departments and agencies.
