Job Title: Event Coordinator
Job Type: 6-Month Fixed Term Contract
Location: Web Ellis House, Twickenham (4 days, home working 1 day)
Salary: £27,800, with bonus of up to 10%.
We are looking for a proactive and highly organised individual to provide vital administrative support in the delivery of Brokerage Events. This role plays a key part in ensuring the efficient turnaround of brokered packages to customers, maintaining the highest standards of service and accuracy.
Working closely with the Commercial Manager, you’ll be involved in a wide range of responsibilities – from liaising with customers to coordinating with venues and suppliers – helping to ensure every event runs smoothly from start to finish.
You’ll be:
* Liaising with the Brokerage Coordinator to provide day-to-day administrative support across all assigned tasks
* Managing the in-house Keith Prowse booking system for Brokerage bookings, including processing availability requests, creating and allocating events, and generating reports for fulfilment and sales tracking
* Building and maintaining strong relationships with venues and suppliers to ensure smooth event coordination
* Raising purchase order numbers and accurately recording and tracking bookings on the operations report
* Processing invoices and working closely with the accounts department to ensure timely payments
* Preparing and distributing comprehensive event documentation for internal teams and external partners
* Allocating and distributing event fulfilment materials, including physical and digital tickets, car parking passes, and more
* Handling customer requirements and queries before, during, and after events, including dietary and accessibility needs
* Coordinating post-event customer complaints where necessary with professionalism and care
* Updating and sharing accurate table plans with relevant internal teams and suppliers
* Providing general office support during busy event periods to aid smooth operations
* Attending events where possible to assist with delivery and guest experience
* Ensuring compliance with all Compass Group health and safety policies and procedures.

* Using Microsoft Office applications (Word, Excel, Outlook) and database systems with confidence and ease
* Applying strong English language and numeracy skills to daily responsibilities
