JOB TITLE: Administration & Project Coordinator – D365 Implementation – Contract
LOCATION: Aylesford, Kent
WORKING HOURS: 8am - 4.30pm. Office based
We are looking for a proactive Administration & Project Coordinator to support the delivery of a Microsoft Dynamics 365 F&SCM implementation. This role will provide essential support to the Project Manager, ensuring smooth day‑to‑day & operational activities are planned, scheduled & executed throughout the lifecycle of the project. Playing a key role in managing communications, tracking actions, maintaining records in Microsoft toolkits, including Azure DevOps, and ensuring meetings, shared sessions and other appointments are defined, organised and documented with any follow ups attended to.
RESPONSIBILITIES
* Provide day‑to‑day support to the Project Manager.
* Maintain plans, trackers and status updates including RAID logs.
* Coordinate activities, ensuring tasks and deadlines are tracked and key accountabilities are met.
* Follow up on actions and outcomes throughout the project.
* Create and maintain documentation and reporting suites.
* Prepare status reporting and updates, ensuring these are accurate and readable.
* Support communication flow, acting as a central point of contact for queries, questions and feedback.
* Liaise with internal teams, external partners and wider stakeholders.
* Schedule and organise meetings, workshops, stand‑ups and so on.
* Take clear and structured notes, capturing key points, decisions and actions.
* Distribute actions to the responsible owners, tracking progress to completion.
* Maintain and update Microsoft toolkits, including Azure DevOps, with links, notes and attachments.
* Ensure all tasks, issues, bugs and changes are logged and tracked appropriately.
* Support the wider stakeholders & teams in using shared resources and apps, workspaces and keeping boards accurate and up to date.
QUALIFICATIONS & EXPERIENCE
* Experience working within structured project methodologies (Agile, Waterfall or hybrid).
* Understanding of project governance (RAID logs, reporting, tracking).
* Knowledge of Microsoft toolkits, including Azure DevOps.
* Experience in fast‑paced implementation projects.
* Excellent written and verbal communication skills.
