School Receptionist/Administrator Scale Point Salary dependant on experience 37.5 hours per week, 8.00am and 4.00pm, term time only plus 1 week plus 5 teacher training days Job purpose: To ensure an effective communications and reception service within the establishment and to outside agencies and members of the public, and to provide clerical and administrative support as necessary. Duties and responsibilities: Under the direction of the Office Manager and with the support of other administrative staff, provide an efficient and welcoming reception service for the school. First point of contact on telephone system, answering and transferring calls, and taking messages as required. Ensuring night mode is in operation at the appropriate times. Ensure that messages are distributed promptly by e-mail. Assist in monitoring school’s admin mailbox. To use the most appropriate system to keep visitors’ records and students’ lateness records accurate and up to date. Assist with the maintenance of the student database (ARBOR), undertaking data input and retrieval as required. Daily collation of pupil meals reporting to Catering Supervisor and ensuring accurate recordings on Arbor. Daily collation of pupil attendance, ensuring accurate recordings on ARBOR. Monitor sick students waiting in reception and contact parents if requested. Distribute all post received accordingly. General: Be aware of, and comply with policies and procedures relating to Child Protection, security, confidentiality and Data Protection. Reporting all concerns to an appropriate person Adhere to School Health Policy including risk assessment and safety systems Adhere to school policy on Equality & Diversity Contribute to overall ethos/aims of the school Appreciate and support the roles of other professionals Attend and participate in relevant meetings as required Participate in training opportunities and professional development as required To be available on an occasional ad hoc basis to take part in school trips, taking responsibility for a group of students. Fulfil any other tasks reasonably requested by the line manager. ESSENTIAL REQUIREMENTS: Education and Experience Able to work on their own initiative and have substantial experience of general clerical/administrative work Proficient in the use of Microsoft office and ARBOR Good level of Literacy & Numeracy skills Ability to communicate at all levels within school Knowledge, Skills and Abilities Effective use of ICT packages; good keyboard skills Competent use of relevant administrative equipment/resources e.g photocopier and scanner Ability to relate well to staff of all levels, children and external contacts Ability to work constructively as a team, understanding school roles and responsibilities To be responsible for promoting and safeguarding the welfare of children and young people within the school Appropriate knowledge of First Aid
