Overview
The team leader for the clerical officer team within the waiting list is an essential post. This person updates and actions the rota to provide day‑to‑day support for the wider waiting list team, including reception cover, sickness reviews, annual and special leave requests, appraisals, probationary reviews, and ensuring all medical records and paperlite packs are requested, prepared, and available prior to elective surgery. The team leader also ensures desktops and SOPs are updated as required, that a training pack is organised and delivered to all new starters, and fills in gaps on the rota, playing a pivotal role in the team’s success.
Responsibilities
* Communicates with a range of contacts, such as staff from other departments, external clients, patients and their families, when on reception concerning both routine and complex information, some of which may be confidential.
* Prioritises own work and makes judgements in relation to annual leave requests to ensure the clerical officer rota is covered.
* Prioritises own work commitments on a day‑to‑day basis and plans the Clerical Officer Rota to ensure service coverage.
* Undertakes basic clerical tasks such as retrieval and preparation of files, production and issuing of already prepared standard letters, distribution of incoming and outgoing post, and photocopying.
* Provides non‑clinical advice and information to patients, clients and relatives.
* Implements policies and proposes changes to practices and procedures for the own area.
* Works independently within defined policies and procedures and manages own workload.
