Our Events Manager role
A leadership
role responsible for delivering our programming and
events strategy, you’ll bring together cultural and active experiences, balance
community engagement with commercial performance, grow revenue through events
and sponsorship, and champion local partners to elevate our guest experience.
Reporting
to our Hotel General Manager, you’ll work closely with our Operations,
Marketing, Reservations and Guest Services teams to ensure events and
programming are developed, planned and delivered in line with Watergate Bay’s B
Corp commitments and values and overall objectives.
You’ll also be fundamental in crafting, coordinating and executing
a wide range of hotel and external ‘in the bay’ hotel events, harnessing our
food and drink, culture, active, and wellbeing pillars, and act as a key point of
contact for day-to-day enquiries, liaising with guests to ensure their
requirements and expectations are understood and met.

excel in organizational, negotiating, and multitasking skills, and can transform
complex projects into clear, manageable, and concise tasks (both written and verbally),
our Events Manager role offers you the opportunity to deliver once-in-a-lifetime
experiences in alignment with our exciting sustainability initiatives.
This
role is offered on a full-time basis, working Monday to Friday, and will be
based in our Senior Operations Office at the hotel.
What you’ll be responsible for
* Assisting our Head of Brand Delivery in
developing events and identifying opportunities for new event concepts.
* Liaising with external suppliers to ensure
events and functions are well- executed.
* Setting and managing event budgets, working
towards income generation targets as agreed with our Hotel General Manager.
* Creating strong relationships with event
organisers to ensure their vision is met.
* Coordinating with suppliers to arrange ordering,
delivery, set up and payment of equipment.
* Developing an internal strategy for private
dining, events, and exclusive hire, focused on attracting small to medium sized
functions.
* Preparing clear event briefings and
communicating effectively in writing and verbally to ensure all roles and
responsibilities are understood.
* Consulting with our Executive Head Chef to
create seasonal event menus.
* Collaborating with our Food and Beverage Manager
to agree booking parameters, ensuring a swift turnaround of enquiries.
* Working with our internal Tech teams as needed
to ensure booking and payment systems work seamlessly.
* Ensuring all finalised events are documented
correctly within the Outlook events calendar and shared with key members of
team.
* Ensuring each event complies with all relevant
Health & Safety guidelines
* Developing relationships with local communities,
organisations and groups to identify opportunities for events.
* Representing events at key internal meetings as
required.
* Ensuring you have a good understanding of why we
are working towards a B Corp accreditation, implementing our sustainability initiatives
as a core component of our events.
* Actively participating in any B Corp related
initiatives and workshops.
You’ll also
* Ensure deposits and payments are taken as agreed
by contract T&C’s to minimise financial risk to the business.
* Guarantee budget cost lines are adhered to at
each stage of the event planning journey.
* Keep departments are up to date with events
processes (adhering to relevant company policies and procedures).
* Provide and update event risk assessments and safety
planning documents, communicating these as needed.
What you’ll be sharing with us
* Experience in events experience or coordination
* A positive can-do approach for helping guests,
event attendees and team
* A diplomatic nature, with the ability to remain
calm under pressure
* Working knowledge of hotel management systems
* Desire to work independently in a fast-paced,
changing environment
* Clear written and verbal communication skills
* Ability to deliver clear, concise information
tailored to specific and varied audiences
* Customer service experience with a strong focus
on corporate clients
* Strong administrative skills, including accurate
record-keeping, diary and inbox management, document preparation, and reporting
* Excellent negotiating skills, with the ability
to multitask, prioritise effectively, and maintain strong attention to detail
* Effective problem-solving and creative thinking,
with the ability to maintain and exercise independent judgment
* Ability to proactively and efficiently address
guest issues, concerns, and feedback
* Basic experience of Microsoft Office: Word,
Excel, Powerpoint & Outlook
* Social media and marketing awareness (preferred)
* Proven track record of creative, successful
events (preferred)
* A history of working alongside a wide range of
departments (preferred)
