Job Title: Service Administrator
Job Summary:
We are seeking a detail-oriented and organized Service Administrator to join our team. The Service Administrator will be responsible for providing administrative support to ensure efficient operation of the service department. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
Duties:
- Manage and organize service department schedules and appointments
- Assist in processing service requests and work orders
- Maintain accurate records of service activities and transactions
- Coordinate communication between customers and service technicians
- Handle customer inquiries and provide exceptional customer service
- Perform data entry tasks using XERO and other computerized systems
- Support the service team with clerical tasks such as filing, scanning, and copying documents
- Utilize phone etiquette when answering calls and directing them appropriately
- Assist in office management duties to ensure a smooth workflow
- Proficient in using Microsoft systems for documentation and communication purposes
Requirements:
- Proven experience in an administrative or service support role
- Strong organizational skills with the ability to multitask effectively
- Proficiency in using XERO for invoicing and financial tracking
- Excellent phone etiquette and communication skills
- Knowledge of administrative procedures and clerical tasks
- Familiarity with office management processes and systems
- Competency in data entry with a high level of accuracy
- Proficiency in using Microsoft systems for document creation and collaboration
