Job Title Facilities Coordinator Summary We're looking for an enthusiastic individual to join our team working for a huge client in the banking sector, overseeing the Facilities for one of their buildings in Bedfordshire. Job Description Core Responsibilities: To ensure an effective and customer focused service provided in accordance with the contract specification and agreed service levels. To develop and maintain a positive relationship with clients and Cushman and Wakefield soft services vendors. To provide core facilities and client administration requirements Responsible for various contractors' management, developing and administrating different projects aligned with the client needs. Management and analyse of the budgets and be responsible for meeting financial goals. Financial management (invoice processing, creation, and closure of purchase order, etc.) Preparation and management of annual budget for Facilities services, reporting accruals, reforecasting and other financial information on a regular basis. Management of workplace health and safety, including providing relevant certificates and inputting into H&S system, Meridian. Developing positive relationships with service providers, local management and clients and ensuring standards and scope of service are met. Responding to any client enquiries in a friendly and professional manner and providing assistance with the reported issue by resolving or reporting it. Completing monthly Space Planning, daily & monthly Site Inspection reports and quarterly H&S inspection. Management and order of general office supplies. Planning of business meetings with the client and with the suppliers Ensure compliance with C&W policies, procedures and standard practices. Ensure client security processes are followed (visitors registration, secured access requests, etc.) Skills and Experience IWFM Level 3 or above or working towards NEBOSH - Desirable - IOSH - Essential Good understanding of H&S and risk awareness. Key base experience is customer focus and empathy. Familiar with effective contract and vendor management Proficient in using Microsoft office package. Excellent communication skills and ability to communicate at all levels. Shows initiative in identifying, recommending and pursuing new opportunities.
