THE ROLE
We're looking for an exceptional Clinic Coordinator to be the heartbeat of our client's Reception. This role would suit someone who thrives in a fast-paced environment, genuinely cares about patients, and keeps everything running seamlessly.
Based at the reception desks in the main waiting area and surgical waiting area, you'll be the first and last face patients see. You'll coordinate patients, clinicians and nurses, ensuring every visit runs smoothly from arrival to departure. This role demands calm under pressure, sharp multi-tasking, and a genuinely caring approach to patient experience.
DAY-TO-DAY DUTIES
Meet and greet patients, ensuring their needs are fully met throughout their visit
Coordinate and manage multiple complex clinical diaries across a team of optometrists and surgeons
Liaise with clinical and nursing staff and Patient Care Coordinators for seamless patient journeys
Act as the initial point of contact for all patients, daily vendors, visiting clinicians and contractors
Coordinate surgical suite logistics including patient transport and post-operative eye drop administration
Dispense eye drops (full training provided, including a Level 2 Dispensing Assistant Qualification)
Take payments and process refunds across multiple database systems
Manage all patient administration: scanning, booking, preparing templates, updating records and legal documents
Gather patient feedback via questionnaires, testimonials and electronic methods
Maintain immaculate clinic presentation and assist less able patients with access and individual needs
Run visiting surgeons' clinics including bookings, payments and enquiry handling
Opening and closing of the premises
SKILLS AND EXPERIENCE
Minimum 2 years' experience in a clinical customer-facing role
Excellent verbal and written communication skills
Strong administrative and clerical experience with computers, including Word, Excel, email and databases
Exceptional organisational ability and time management; comfortable working to strict deadlines
Ability to prioritise and multi-task in a high-pressure clinical environment
Strong problem-solving skills with the ability to handle challenging situations calmly and with initiative
Self-motivated and proactive, with an openness to take on greater responsibility
Post-secondary education is advantageous but not essential
WORKING PATTERN
42 hours per week including a 1-hour lunch break.
Shifts typically run: 06:30–15:00 / 08:00–16:30 / 09:00–17:30 / 09:30–18:00 / 12:00–20:30
You'll work on a rota basis, with occasional Saturday working. When Saturday work is required, you'll be given at least 7 days' notice and a day off in lieu during the week.
