Role Overview The Tenders and Frameworks Co-ordinator plays a vital role in identifying, coordinating and managing public sector and framework opportunities, ensuring Probrand submits high-quality, compelling responses that maximise our chance of success. This role requires a strong understanding of the IT procurement landscape and an ability to coordinate between sales, supply chain and vendor teams to gather input, manage deadlines and ensure submissions are completed with accuracy and impact. A key focus is aligning our digital proposition with tender requirements — you will need a strong understanding of Probrand’s digital offering to confidently respond to tenders that assess digital capability. This is a hybrid role, requiring a minimum of three days per week in our modern central Birmingham office, with the remaining days worked remotely. Key Responsibilities Tender & Framework Management • Monitor automated tender portals and email inboxes for Invitations to Tender (ITTs), Requests for Quotes (RFQs), and Framework opportunities. • Download and distribute tender documentation to relevant stakeholders, log all activity in tracking systems and maintain oversight of all bid submissions. • Coordinate each stage of the tender response process between sales, supply chain, and category teams, ensuring clarity of roles and deadlines. • Review tender questions and requirements carefully, ensuring all responses fully address the criteria, with accurate, relevant and complete information. • Produce tender summary documents and submission plans for internal stakeholders, clearly identifying requirements and timelines. • Provide day-to-day support to the Frameworks Manager, assisting with framework reporting, contract documentation, stakeholder communication and compliance tracking. Digital Proposition Integration • Upskill on Probrand’s digital procurement and benchmarking platforms (e.g. Probrand Procurement Platform, KnowledgeBus). • Lead the response to digital-related questions in tenders and frameworks, articulating Probrand’s digital advantage clearly and persuasively. • Work closely with the Digital Experience Team to stay updated on platform developments and digital case studies. • Ensure digital content in tenders (e.g. user journey, automation, security, platform support) is described with clarity and precision. Sales Team & Supply Chain Collaboration • Engage Category Buyers to obtain accurate pricing, product insight and promotional offers to support submissions. • Coordinate with sales teams and sales leads to ensure commercial alignment. • Act as a liaison between the Frameworks Manager, sales teams and supply chain to ensure effective and efficient bid creation. Vendor & Supplier Engagement • Contact vendors to gather supporting content, technical specifications, case studies, or pricing information where required. • Build productive relationships with vendors to ensure timely responses and promote collaborative submissions. Submission Quality & Data Accuracy • Ensure every response is thoroughly proofed and quality checked before submission. • Maintain and update internal bid logs, win/loss trackers and tender performance reports. • Maintain customer data and framework records in systems. • Complete admin tasks including CRM setup for new customers, framework order processing and daily reporting of tender activity. • Monitor and manage product pricing on the Crown Commercial Services (CCS) platform to ensure competitiveness and optimise margins. Internal Communication & Insight • Actively contribute to tender planning meetings and working groups. • Share insight from previous submissions to improve future win rates. • Provide regular performance data to managers on submission volumes and outcomes.
