We are delighted to advertise for a brand new and innovative role tailored to Pharmacy Support Workers supporting the Pharmacy Procurement Team. You will also support the dispensary team carrying out Final Accuracy Checking and dispensing with the appropriate training.

The post holder will work as part of a dynamic Pharmacy procurement team, delivering an efficient and effective procurement service including the delivery of savings initiatives. Assist the Pharmacy Technicians for Procurement Services, undertaking procurement activity in the form of ordering, contract monitoring, financial reclaims, stock management and invoicing. Support the Pharmacy Procurement team in all aspects of administration, operational service and system development, as well as supporting the wider Pharmacy team with core duties.


Main duties of the job

* Support the Procurement team with procurement duties, CMU contracting lines, contract negotiations and other projects with accurate, consistent and meaningful data analytics.
* Manage CMU updates, monitor out-of-stock lines, handle off‑contract reclaims and update Pharmacy systems.
* Co‑ordinate the day‑to‑day workload of the Procurement Team and support the Department in core duties.

Job responsibilities

* Plan and co‑ordinate the day‑to‑day workload of the Pharmacy Procurement ATOs.
* Timely ordering of stock and processing of invoices for Pharmacy Departments across MPFT, Redwoods, St Georges and Haywood, including Inclusion Services and Sexual Health Services.
* Create and run Power BI, Ascribe, CMU and procurement usage reports, and identify stock issues.
* Support, train and develop staff working in the Pharmacy Procurement Team.
* Liaise with wholesale companies, pharmacists, clinics and patients to resolve issues and ensure timely supply of medication.
* Produce workload figures and monitor key performance indicators to improve the service.
* Maintain the pharmacy computer system, ensuring drug contract prices are updated.
* Investigate and resolve supply problems and queries with orders and stock, purchasing in a timely manner to minimise shortages.
* Maintain the manufacturers “can’t supply” spreadsheet and communicate with staff about supply issues.
* Manage critical medicines, ensuring stock is always available.
* Review and monitor stock and re‑order levels to reflect current usage across departments.
* Act as a contact point between pharmacy and the trust finance team.
* Assist in accurate keeping of records for procurement of unlicensed and imported medicines.
* Investigate, follow up and record any discrepancies with stock.
* Participate in the supply of stock medication via ward top‑up services.
* Accurately pick and issue stock to wards and departments.
* Act upon Medicines and Healthcare Products Regulatory Agency drug alerts, producing necessary information.
* Train and monitor new Assistant Technical Officers and pre‑registration pharmacy technicians in procurement.
* Support writing and updating of standard operating procedures and training packs.
* Implement new processes and training requirements for pharmacy and ward/community teams.
* Review and update contract policies within Pharmacy Procurement, ensuring timely amendments.
* Play an active role with governance and health and safety.
* Support data gathering for audits.
* Participate in pharmacy research projects as required.
* Carry out dispensary duties, including dispensing and final accuracy checking of items.
* Support core dispensary duties, including on bank holidays and weekends.


Person Specification

* Essential experience:
o NVQ Level 2 in Pharmacy Services.
o Extensive pharmacy hospital experience.
o Pharmacy procurement experience.
o Pharmacy contracts & mapping experience.
* Desirable experience:
o Experience with Ascribe.
o Final accuracy checking award.
* Essential skills:
o Day‑to‑day rota planning.
o Ability to work across various sites.
