In this role, you will ensure that all contractors are working to the agreed service level agreements and meeting KPIs in line with statutory compliance requirements.
Your role will involve the effective recording of all work orders against the appropriate assets within the CAFM system. This will cover both planned and reactive maintenance works. Our Facilities Coordinators are responsible for monitoring the progress of these work orders through to completion, and making sure all documentation relating to these works has been completed and recorded correctly and in a timely manner.
The Facilities Coordinator will aim to answer all queries relating to the service and maintenance contract and provide a first call resolution where possible. You will also work closely with external teams and contractors to ensure continuity of service and to achieve key objectives, so the ability to build strong relationships is key.
Before applying for this role, it is essential that you have previous phone-based customer service experience, preferably within a high-volume, fast-paced environment or facilities support role. For this role, the ability to learn new skills and systems quickly is essential. Previous experience with CAFM systems and Microsoft Office programs is also desired.

Hours: Monday-Friday 9am-5pm. (1 week in 5 on call as an escalation contact only). Top-up pay of £100 per week for being on call.
Key Responsibilities:
1. Process calls and emails from internal departments and third parties
2. Resolve general inquiries on a first call resolution basis where possible
3. Liaise with contractors to confirm/schedule attendance to work orders within agreed SLAs
4. Create regular reports and provide progress updates for Helpdesk Manager as required
5. Build relationships with your sites/customer base, provide regular updates, and review progress
6. Monitor contractors throughout various processes to manage poor performance/non-attendance within SLA
7. Maintain awareness of health & safety, environmental health, and critical issues, prioritizing jobs accordingly
8. Be aware of reported issues that could be potentially dangerous or lead to non-compliance
9. Retain high volumes of industry knowledge and draw on this daily
