Owen Reed is looking for a Legal Personal Assistant for a top global law firm in London.
We are recruiting an experienced and highly organised Personal Assistant to provide comprehensive support to fee earners within a leading international law firm. This role is ideal for a proactive PA who thrives in a fast-paced legal environment and delivers consistently high standards of client, financial and administrative support.
The Role As a Personal Assistant, you will act as a trusted support to lawyers, managing diaries, client matters, billing processes and business development activity. You will balance multiple priorities with confidence, maintain excellent attention to detail and communicate professionally with clients and colleagues at all levels.
Key Responsibilities Client & Business Development Support Maintain accurate client and contact records on the CRM system (InterAction).
Support lawyers with marketing and business development activity, including pitches, biographies and client materials.
Assist with the coordination of client meetings, events and webinars.
Support matter opening and closing processes in line with firm procedures.
Build familiarity with key clients and contribute to a high standard of client care.
Financial & Billing Support Ensure accurate and timely time recording for fee earners.
Assist with billing, disbursements and credit control processes.
Send bills to clients and support payment processing and expense claims.
Liaise with Finance and Revenue teams as required.
Diary & Administrative Support Manage complex diaries and meeting schedules, including across multiple time zones.
Arrange meetings, conference rooms, catering and meeting materials.
Organise domestic and international travel, including accommodation and itineraries.
Maintain accurate electronic filing and document management systems (iManage).
Handle general administrative tasks including scanning, printing, couriers and DocuSign.
Communication & Document Support Act as a professional point of contact for internal and external queries.
Draft and proofread correspondence, legal documents and presentations.
Liaise with Document Production and review work where required.
Team Support Provide flexible support to colleagues during busy periods and cover absences.
Work collaboratively with Business Services teams.
Support onboarding of new team members and contribute to improved working practices.
Skills & Experience Previous experience as a Personal Assistant or Legal Secretary within a law firm is essential.
Strong understanding of legal documentation and terminology.
Excellent organisational and time-management skills.
Confident managing multiple priorities in a fast-paced environment.
High level of discretion, professionalism and attention to detail.
Strong written and verbal communication skills.
