THE ROLE

Smart Group is a dynamic collection of hospitality, catering, venue, and event management businesses based in London, UK. The Sales and Events Assistant role is primarily focused on overseeing the sales and event administration for our Ticketed Events, with a particular emphasis on Shared Christmas Parties. It combines client-facing sales activity with back-office administration to ensure the smooth delivery of events and high levels of customer satisfaction.

Key Responsibilities


* Shared Christmas Parties:
o Calling database for shared parties
o Using the CRM system to report on historical data
o Calling previous clients and negotiating offers where necessary
o Reacting to incoming enquiry
o Cold calling new data
o Reporting for ticketed events
o Preparing ticketing reports
o Sending e-tickets
o Printing labels, letters etc to send drinks vouchers
o Reporting on menu and drinks orders to share with the operations team
o Administration of logistics
o Produce and update all event information and reports for the catering teams and on-site managers.
o Ensure reports are communicated accurately and updated within agreed time frames
o Attend shared party events
o Assisting operations team with on-site queries
o Scanning tickets and welcoming guests to the venue
o Attend trade show events to showcase and promote Smart Parties throughout the year PA show, London Christmas Party Show, etc.
o Ensuring all data is correctly followed up
o Additional responsibilities
o Make outgoing courtesy calls to existing and new clients to arrange and finalise their parties
o Up-selling drinks packages to shared party attendees
o Taking payments via the CRM system
o Co-ordinate feedback questionnaires, graphs and results
o Assist the marketing team, creating campaigns and new offers to promote the shared Christmas parties
About You

What you’ll bring:

* Experience in sales or events administration, ideally within the events or hospitality industry is desirable but not essential
* Prior involvement in cold calling and client negotiations.
* Excellent verbal and written communication skills
* Strong organisational skills, including the ability to manage multiple reports, ticketing tasks, and event logistics.
* Attention to detail
* Knowledge of Microsoft Office Suite (especially Excel and Word)
* Proactive and self-motivated with the ability to handle both reactive and proactive sales tasks.
* Team player with the flexibility to assist various departments
* Professional and personable demeanour
* Ability to work under pressure
