TheDiabetes department based in Beckett Wing have an exciting opportunity for afull time Band 3 Medical Secretary to join our very friendly and approachableteam consisting of medical secretaries and administrative staff. We work veryclosely with our consulting and admin teams forging strong relationships todeliver the best care for our services users.

Previoussecretarial experience would be an advantage for this role.

Theinterview date for this role will be on Friday 13th October.

Main duties of the job

Weare looking for a team player who can work to a high professional standard tojoin the Diabetes admin team.

Thesuccessful candidate will be responsible for the timely production of clinicletters.

* Cancelling/rebookingclinic as and when required.
* Handlingpatient enquiries by telephone, email or in person.
* Arrangeand prepare meeting agendas, take minutes and circulate.
* Liaisewith staff, patients and other organisations.
* Generaladhoc administrative tasks as required.
* Dealingwith incoming/outgoing post.
* Changing/bookingappointments as required.
* Assistingwith the accurate recording of Diabetes technology.
* Thepost holder would be required to support the Diabetes Limb Salvage ServiceMDT.

Thediabetes admin team comprises of 1 senior medical secretary, 2 medicalsecretaries, 2 clerk/typists and 1 data manager. The team are hardworking, veryknowledgeable and, they are a great bunch of people who are fun to be around.

TheDiabetes Centre is a busy and exciting department that offers an ample numberof opportunities to learn more about the service, and the CSU. Leeds Teaching Hospitals is great to be apart of as it has lots of new and interesting opportunities made availablefor staff.

Thispost is based at the St James Hospital in a busy but friendly department, andyou will be expected to prioritise your workload and undertake multipletasks. The successful candidate willneed to have the ability to work using their own initiative but also teamworkis essential.

Job responsibilities

To provide a comprehensive andhigh-quality secretarial service to support the multi-disciplinary teams(Consultants, their medical teams e.g. junior medical staff or specialistnursing staff as appropriate) in delivering high quality care to the patientsof Leeds and beyond. This role will additionally make a key contribution inimproving the patient experience by supporting Directorate teams with themovement of patients through their 18-week pathway or other national waitingtime standards as appropriate.

Skills & behaviours

* Interpersonal and communication skills.
* Organisation and time management skills.
* Understanding of customer care principles.
* A broad understanding of medical termin0logy and its use within clinical correspondence.
* Ability to work as part of a team.
* Ability to communicate sensitively using tact and diplomacy.
* Able to deal with sensitive information and enquiries in an appropriate and supportive manner.
* A good understanding of Trust Standards and National Waiting time standards.


Additional Requirements

* Adaptability and willingness to learn skills associated with role as may be required.
* Knowledge of the Data Protection Act in relation to patient confidentiality.


Experience

* Using a variety of Microsoft office packages including word, excel and PowerPoint.
* Using patient information systems such as PAS.
* Prioritising and managing workload to meet deadlines.
* Liaising with a variety of sources.
* At least one year of secretarial experience.
* Using trust/departmental systems such as PPM.
* Previous administrative experience in a healthcare setting.


Qualifications

* Good standard of education.
* Audiotyping.
* RSA II or equivalent.
