Overview
This post is open to employees of the five LAASP organisations. An opportunity has arisen for a band 3 Clerical Officer, 30 hours, permanent post within the Department of Medicine for Diabetes and Endocrinology. The post holders will work alongside the current admin team, providing clerical and administrative support with the RTT-related activities including validation and booking of clinics, the Diabetes Specialist Nurse Service and the Diabetes Pump service. They must be able to prioritise and manage their workload and provide support when and where needed.
Responsibilities
* Input statistics and information from Records into a database and manage the system; all department activity is input daily.
* Liaise with the manager to maintain a quality information system and identify potential data flaws.
* Access the database to retrieve information and produce statistics and reports for the Trust.
* General reception duties: first contact with individuals attending the Department, providing information or referring them to the appropriate staff member.
* Communicate with all levels of staff in a polite and efficient manner, handling telephone enquiries and requests.
* Open, sort and date stamp department internal and external post; photocopy documents and send faxes as required.
* Manage and update the filing system, archiving notes from current files; maintain Records.
* Organise notes for doctors’ clinic sessions: make appointments, handle queries, obtain management referral letters, maintain appointments diary, retrieve notes and inform managers about missed appointments.
* Ensure relevant documentation is completed to ensure smooth running of the clinic.
* Access results on iPM systems as required, maintaining strict confidentiality.
* Distribute information to departments on request while maintaining confidentiality.
* Stock control and ordering stationery as required from reprographics and stationers.
* Provide clerical and administrative support for staff; organise and retrieve notes required for the daily appointment system.
* Clinical Governance / Quality: liaise with manager to maintain a quality information system and identify data flaws.
