Eden Brown Synergy are working with a Regulatory Body (non-departmental public body) who are looking to recruit an experienced Executive Assistant on a permanent basis.
The role is full time and based in Bristol. You can work hybrid with 2-3 days in the office. There is free parking on site in Bristol.
The salary scale is 37,614 - 38,577 per annum + a generous Civil Service benefits defined pension.
The role
* Provide high quality, effective and proactive co‑ordination and communications support to the Director of Regulation.
* Work in partnership Regulation Strategic Adviser to manage the Director's office and the Regulation Support and Strategy team in providing a business support function to the directorate.
Key responsibilities
You will be responsible for:
* Managing communications and correspondence with internal and external stakeholders across the Director's complex regulatory and operational portfolio.
* Developing a strong awareness of the Director's work and the work of the wider directorate in order to understand the subject matter in correspondence, effectively identify risks/ concerns, and inform judgement around priorities.
* Liaising and co‑ordinating the Director's work with that of the other Regulation Directors to ensure a joined up approach on correspondence and wider communications.
* Building strong peer relationships and networks, including with the offices of internal and external stakeholders, to enable the Director to effectively manage and deliver meetings and engagement with stakeholders.
* Co‑ordinating the Director's work commitments, including extensive diary management, travel and co‑ordination, both within the director's remit and to align with directorate priorities.
* Collating materials ahead of meetings (agendas, briefings, minutes, actions required), working closely with the Director's Strategic Adviser.
* Proactively managing the Director's email account and other administrative systems, updating and developing these as required to meet the Director's needs.
* Triaging and, correspondence and actions, exercising judgement about when these are brought to the attention of the Director, and ensuring timely responses are drafted and communicated.
* Acting as a central point of contact in the Director's office for the organisation's central functions and signposting queries as needed to other teams.
* Working closely with the Director's Strategic Adviser to guide on the delivery of key pieces of operational and regulatory work.
* Working closely with the Directorate's Support and Strategy team to enhance its business support functions, including peer leadership for other administrative colleagues in the team.
Essential experience required
* Previous experience of working as an executive assistant to a director (or similar role) and undertaking enhanced PA responsibilities.
* Able to demonstrate an understanding of the context of a Director's (or similar role) work and their priorities and that of other Directors within Regulation, exercising judgement on queries and actions against these.
* Strong written and verbal communication skills, with the ability to draft and tailor communications for a variety of internal and external stakeholders.
* Ability to build strong and constructive peer relationships and networks, including with the offices of internal and external stakeholders, to support meetings and engagements.
* Ability to proactively develop the administrative systems that support a Director (or similar role) in their work.
* High attention to detail and ability to co‑ordinate, organise and signpost in context of a fast moving and complex portfolio of activity.
* Able to work discreetly and have experience of handling sensitive issues.
* Enhanced Microsoft Office knowledge and skills.
