About the role
We’re hiring an Executive Assistant to the VP Northern Europe! If you’re organized, proactive, and thrive managing complex schedules across multiple time zones, this role is for you. You’ll be the primary point of contact for internal and external stakeholders, providing dedicated one-to-one support, coordinating meetings and events, and assisting the senior leadership team with key projects. As the Executive Assistant, you will:
* Be the point of contact for executives, employees, clients and other external partners.
* Manage and filter incoming communications, such as phone calls and emails, prioritising any conflicting needs.
* Manage high priority matters expeditiously and proactively
* Work on deadline driven projects to successful completion
* Own and management the VP’s schedule, appointments and meetings ensuring efficient use of the VP’s time
* Arrange complex and detailed domestic and international travel plans, itineraries and agendas, including: Flights, Train, Taxi, Hotels and venues
* Co-ordinate agendas for meetings, create management/ client packs and presentations
* Complete a wide variety of administration tasks, including formatting information for internal and external communication, including sensitive information – memos, emails, presentations, reports and digital filing of confidential information.
* Handle sensitive and confidential information with discretion and sensitivity
* Consolidate expenses and process on the company portal
* Use the HR system to approve holidays for the VP’s direct reports and liaise the appropriate country HR where needed
* Take detailed minutes during meetings
* Any other ad hoc tasks as needed
QUALIFICATIONS AND EXPERIENCE | About you
The ideal Executive Assistant :
* Have experience working as and EA to a senior level executive withing a global corporate organisation.
* Be experienced in complex international diary management and multipoint travel plans
* Have strong organisational, time management and multitasking skills
* Will have excellent written and verbal English communication skills
* Be extremely proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook)
* Have strong interpersonal skills with the ability to support the wider Exec team and work independently
* Be flexible and adaptable to handle changing priorities and responsibilities
* Ability to handle sensitive and confidential information with discretion and sensitivity
Preferred skills and experience:
* Additional language skills such as French or German would be beneficial
