Job Summary
We are seeking a detail-oriented and motivated Accounts Assistant to join our established Finance Team. The successful candidate will play a crucial role in supporting the accounts department by managing various financial tasks, ensuring accuracy in data entry, and maintaining efficient financial records. Responsibilities
Ledger Management
* Maintain both the purchase and sales ledgers, ensuring all invoices and transactions are processed promptly
* Resolve customer invoice queries promptly via telephone and email
* Allocate all customer payments to the corresponding debt
* Perform monthly reconciliations and investigate discrepancies, escalating issues as needed.
Administrative Support
Provide support to Sales Order Entry team; including providing cover during period of absences. Tasks including:
* Input and maintain new customer orders in the ERP system in a timely manner.
* Create customer accounts within the ERP system.
* Respond to order-related enquiries via phone and email, ensuring resolution within the agreed SLA.
* Keep accurate records of open and closed queries.
* Provide general administrative support within the finance department, including filing, record-keeping, and other clerical duties.
Stakeholder Communication and Support
* Collaborate with internal and external stakeholders to resolve invoice and order queries.
* Coordinate with intercompany partners to ensure accurate and timely transactions.
Ad-Hoc and Project Support
* Assist with finance-related tasks and projects as assigned by the Finance Manager
Skills and Competencies
* Strong organizational skills with the ability to manage multiple priorities.
* Proficiency in ERP systems and Microsoft Office Suite.
* Excellent communication skills to liaise effectively with internal teams, suppliers, and customers.
* Attention to detail and problem-solving capabilities.
* Experience in accounts payable, processing customer orders, and performing reconciliations.
Experience
* 2 years experience as an accounts assistant or similar role is essential.
* Proficiency in ERP systems and Microsoft Office Suite
* Strong data entry skills with a keen eye for detail to ensure accuracy in financial reporting.
* Experience of accounts payable processes desirable.
* Excellent organisational skills with the ability to manage multiple tasks effectively in a fast-paced environment to meet departmental deadlines.
* Strong communication skills, both written and verbal, to liaise effectively with internal teams, suppliers and customers.
