We are looking for a friendly and enthusiastic administrator to support our HR, Logistics and Operations teams based within our Head Office in Conwy. Day to day you will carry out essential administrative tasks for Business Operations and the HR Department based on our priorities. This role may require occasional out of hours working on a rotational basis to ensure a smooth staff travel arrangements. Key responsibilities: HR admin (60% of the time): Creating and maintaining digital employee records and databases Preparing and amending various HR documents Assisting the line managers in the recruitment and selection process Responsible for ensuring all relevant processes are completed during the onboarding and offboarding Supporting the administration of reward and benefits schemes Supporting HR Manager to perform their daily responsibilities Personnel Logistics (20% of the time): Work with the personnel logistics manager to book and coordinate travel, flights, hotels, car hire, on a project by project basis Liaise with clients and ensure staff due to travel offshore have all required documentation/certifications and manage client certification portals when required Cross check travel budgets and terms and conditions to ensure it aligns with the client's agreement. Undertake work permits, visas, ESTAs, police checks, fingerprints, Seafarer books and second passport renewals Business Operations (20% of the time): Assist with coordination of offshore certification, Assist with expenses in company’s software. Reconcile and provide report for billing Front of house, and administrative support as required, including booking local accommodation as required for visitors, shipment of slides and other equipment. Management and supervision of slide status and ensure that the inventory is kept up to date and accurate. Archive and administer slide status and ensure that the inventory is kept up to date and accurately logged. You may also be asked to undertake other duties throughout your time in the role to support the company that are appropriate to the level/grade of the job.
