We are recruiting for a Ceremonies and Protocol Coordinator for our Events Delivery team who would be based at our St James Market Office in London. Main Duties and Responsibilities: Liaise with Suppliers ahead of the season for deliverables Organise meetings, distribute agendas and take meeting notes with all promoters Create consent forms ahead of each race and distribute to promoters when required Distribute Support series details to relevant teams Complete all Event Evaluation documents with the Event Protocol Manager and distribute to Race Promotion & Commercial Media. Attend de-brief meetings with Promoter. Ensure all documents have been received from the promoter ahead of race week Planning all aspects of the parade which includes timings, interviews, operational plans, drawings, confirmations to FIA, teams, and other stakeholders. Liaising with the promoter in regard to the Marshal Award Integral part of the planning team to organise shows with promoters, agencies, audio teams, production teams and talents. Organising accreditations for all required parties. Liaising with F1 Track TV Assisting with planning with different departments on rehearsals on site after track activities. Organising talents/music acts/MCs for the F3/F2/F1 races Organise on-site meetings to discuss pre& post-race details Integral part of the planning and execution of the shows that are put on around the grid prior to the race start. Planning all aspects of special awards and FIA requests such as marshal awards, commercial partner awards, photo opportunities on track. planning includes timings, interviews, operational plans, drawings, confirmations to FIA etc. Liaising with promoters, FIA, suppliers, and all internal stakeholders on delivery. Organising all aspects which includes timings, operational plans, drawings, fly over requirements, rehearsals, and implementation. Working with the Event Protocol Manager to create a Grid Wristband document. Following up with the promoter protocol team and FIA the list of attendees. Ensuring all the name plates are ordered and ready to place in the correct location to conform to our protocol, and pre planned layouts. Liaising with promoter and supplier to ensure the cool down room meets expectations and is presentable for IF. Ensure all trophies, caps and Champagnes are collected and ready for Podium presentations. Collecting and preparing all the information required to perform the Podium presentation. Liaising with Champagne supplier to ensure champagne is delivered to site and correct and ready for the Podium Ceremony. Making sure all the trophies, trophy plinths are on site and correct for Podium Presentation. Distribute Trophy cases to relevant team’s post-race. About You: Minimum 2 years of live event coordination experience Excellent communication skills Driving license Able to work unsupervised but also collaborate within a team Process driven Good working knowledge of the Microsoft suite Multiple language skills would be advantageous Why join the force behind the sport?
