Overview
Position Overview: Thisrole is based at our office in Bishop’s Stortford and will besupporting a growing team of engineers that work remotely. This is a part-time, office-based position, working up to 25 hours per week spread across 5 days. The key responsibility of the Grid Connections Administrative Assistant will be to support the Grid Connections team. The ideal candidate will be able to manage a wide range of tasks. Working closely with the Grid Connections Engineers and wider company support staff, managing the Grid Connections mailbox and all the incoming communication from clients and Distribution Network Operators is the core of this role. Working at the heart of a small team also requires lots of initiative and a proactive approach.
What you’ll be doing
* Documentation & Coordination - Assisting in preparing documentation and coordinating information flow between clients, engineers, and Distribution Network Operators, ensuring smooth project progression.
* Mailbox Management - Management of the Grid Connections mailbox, ensuring the relevant people are aware of incoming emails and respond to them promptly.
* Diary & Meeting Coordination - Organising team diaries and meetings, including minute taking and action tracking.
* Financial Administration – Raising purchase orders and deals, and liaising with the finance team to support and resolve any invoicing queries.
* Process improvement – identifying opportunities to streamline admin processes and suggesting improvements to boost efficiency.
* Liaising with stakeholders – acting as a first point of contact for clients, Distribution Network Operators, and suppliers, ensuring smooth communication.
Requirements
What we're looking for
* High level of competency using Microsoft 365, including but not limited to Outlook, Word, Excel, and PowerPoint.
* Ability to communicate well with engineers, senior management, and customers alike.
* Ability to self-start and work without direct supervision
* Ability to structure work, recordkeeping and support company certification by working with good governance.
* Professional manner, able to represent the company.
* Flexible approach, responding quickly and flexibly, where required, initiating change, and supporting others.
* Good understanding of GDPR and customer confidentiality.
* Some financial experience would be beneficial.
